Domain-wide reports for activity, usage, views & more

Overview

MangoApps offers its Network Admins to generate various system usage reports. Intelligent telemetry engine captures the data real-time and presents to the requester as a report.

  1. Available Reports: Following are the list of all available reports a network admin can generate:

    • Active Users Report: Active Users Report: This report provides information about the active users in your network. Active users are defined as those who have accessed MangoApps at least twice and have engaged in activities such as posting updates, commenting, replying, or reacting at least once within the selected time period. Additionally, users who have viewed and interacted with content via email are also included in this report.

      The report consists of the following details:

      • Summary: You can view the “Total vs Active Users” Data in graph.

      • Active Users: You can see the users’ details such as Name, Email Id, Location, Last Active Date and so on.

      • User Access Data: You can see data such as Log Out Time, Access App, Access platform, Access type, Session type, Department and so on.

    • Active Teams Report: A report of active teams in your network. Active teams in this report are teams that have at-least two activities in the selected time period.

      The report consists of the following details:

      • Summary: It shows the details of “Total vs Active Team Data” and “Active Teams Data” in graph.

      • Data: Details of Teams, Team Admins, Activity Score and Type of Data you can view.

    • Users Activity Report: A report of all user actions like creation of new posts (of any kind), viewing of posts, reaction to posts, comments and replies on posts in the selected time period.

      The report consists of the following details:

      • Summary: You will see the user activity report in graph form.

      • Summary Activity Data: You get details of Users, Email, New Content type, Total Views, Total Comments and Replies, Total Reactions and Location.

      • Detailed Activity Data: You can view the details of Users, Content type, Content Title, Author, Content Created time, Views, Comments and Replies, Reactions, First Viewed, Last Viewed, Content Link.

    • Influencers Report: A report of users whose posts (of any kind) are getting the most comments, replies or reactions along with users who are @mentioned the most in the selected time period.

      In this report you can view the details of:

      Summary of top contributors, Details of top contributors, Top 15 replies to users, Top 15 popular users, Top 15 mentioned users’ details.

    • Content Statistics Report: A report of content with several reactions, comments and views in the selected time period.

      Report consists of:

      • A summary of the most pinned and most viewed content in the graph format.

      • In the data sheet you get the details of Content, Author name, Organization of Employee, Type, Team, Total Reactions, Total Comments, Total Pined, Total Views, Unique Views, Date, and Link Details.

    • Page Views Report: A report of views that the company pages and team pages have had in the selected time period. You get the details of “top viewed pages” in graph format also in data sheet you can view different details of users with department details.

    • Dashboard Views Report: A report showing the number of views on dashboard during a specific time-period. The dashboard tab displays information about the login activity of users from all MangoApps platforms (web, mobile, and desktop) along with the account information of your MangoApps domain.

      In the report you will see the details of the “Total Views” in graph format and details of "User Name" and "Views" in the data sheet.

    • Questions & Answers Report: A report of questions asked in the selected time period, the first answer on them and the time it took to get the first answer. A report consists of:

      • A summary of the Question Answer report in graph format.

      • In data sheet you see details of the Question, Asked By, Total Answer, Have an Accepted Answer, First Answer, First Answered By , Response Time, Accepted Answered By and Link Details.

    • Teams Usage Report: A report on the usage trend covering a number of posts (of any kind), comments, replies, reactions and views to know which projects, groups and departments are being used in the selected time period. The report consists of:

      • In the summary tab, you can see the details of “teams with most new content”, “Teams with most comments”, and “Teams with most pinned content”.

      • In the data sheet, you will see Team Name, Team Description, Total New Content, Total Member count, Unique Active users, Unique active members, Total reactions, Unique User Reactions, Total Comments and Replies, Unique User Comments and Replies, Total File Views, Unique User File Views, Total File Download, Unique User File Download, Total Content Shares, Total Pinned Content, Unique User Pinned Content.

    • Hashtags Usage Report: A report of top hashtags used in the selected time period. Hashtags are a simple way of categorizing content in your domain into topics by using the hashtag symbol ‘#’ along with the topic or phrase and adding it to your post. For example: This is a great sales update! #SalesWin.

    • Recognitions Report: A report on recognitions given during a specific time-period. Recognizing employees for stellar work is vital to maintaining morale and boosting productivity. Similarly recognizing a team boosts the morale of the team to perform the same way time and again.

      • In data sheet, you can view the details of Award Name, Category, Message, Given By, Employee ID, Approved By, Given to, Employee Id of given to, Given On, Reward Point, Gamification Points.

      • Summary shows the Recognition Report in graph form.

    • Media Gallery Activity Report: A report capturing the media (image, audio, and videos) uploaded during a specific time period. This report is available to domain admins for full company’s media files and available to team admins for their respective teams.

      • In data sheet, you can view the data such as ID, Media, Viewed, Download, Pinned, Media Type, Uploaded By, Uploaded On, and Media Link.

      • Summary shows the activity report in graph form.

    • Story Collection: Story collection is a new report that’s available to domain admins to get insights into the users who received story collection requests, who responded, etc. Domain admins can turn on story collection automation as part of the birthday & work anniversaries automation.

      • In the data sheet you can find the details of Rule Name, Rule Type, Story Requested On, Story Requested From, Story Received From, Story Requested Count, Story Received Count, Scheduled for, Schedule on.

      • Summary shows the "Story Collection" in graph form.

    • Feedback Report: A report on NPS feedback given during a specific time-period. Admin should be able to get periodic feedback from the users.

      • In the data you get the details of Feedback Date, Username, Rating, Rating in Words, and Feedback and Summaries in graph form.

    • Search: A report capturing the keywords searched by users. You can search for people, files, posts, hashtags, and more.

      • In this report you will see details of Search Text, Advanced Option, Search Type, Team, Unique Search Count, Total Count, Search Url.

    • LMS Reports: Learning module reporting helps you measure your employee training performance and your course effectiveness. Custom report templates can be created as per your company requirements. Ready-to-use LMS reports with custom filters give you the flexibility to get the data you need when you need it. See LMS Report Types for more information.

  2. Generate Report: Click the Generate Report button to initiate the generation of the selected report in .xlsx format. See Generating a Report for more information.

    • View Report History: Click the View Report History option to redirect to the specific reports' folder.

  3. View Generated Reports Folder: Click the View Generated Reports Folder link to redirect to the dedicated Reports folder of the domain where all generated report files are categorized and stored. The generated excel reports are classified & stored in folders under User Portal > Files > Reports.

By default, the generated reports are shared with all the network admins.

Generating a Report

A report can be generated for one of the following time period:

  • Yesterday, OR

  • This Week, OR

  • Last Week, OR

  • Last 2 Weeks, OR

  • This Month, OR

  • Last Month, OR

  • Last 12 months, OR

  • All Time, OR

  • A custom date range.

To generate a report:

  1. Click the Generate Report button for the report you want to extract. For example, click the Generate Report button for Page Views to open the Page Views pop-up.

  2. In the Page Views pop-up, choose the preferred date range for generating the report in the Select Date Range drop-down list. For example, select All time from the Select Date Range drop-down list.

  3. Click the Generate button to extract a report of views that all the company pages and team pages have had in the selected time period.

  4. Click the Reports folder link in the Page Views pop-up to redirect to the Reports folder. OR

    Navigate to the User Portal > Files > Reports folder.

  5. Click the Page Views folder to open it and then click the generated report in .xlsx format to preview it. OR

    Click the notification feed for the report to preview the generated report.

To generate LMS report

  1. Click the Generate Report button.

  2. Select any system report template from the list and click Next.

  3. From the Filter window,

    Select the courses from:

    • All Courses

    • Select Courses: Enter the course name you want to generate a report for.

    • Select Course Criteria: Enter criteria such as Name, Category, Language and so on.

    Select the users from

    • All Users

    • Select Users: Enter the username or email.

    • Select Users Criteria: Enter criteria such as Department, Name, team and so on.

    Select the date range from:

    • Assign Date

    • Start Date

    • Due Date

    • Completion Date.

  4. Click Generate.

  5. Navigate to the User Portal > Files > Reports folder. Click on the LMS Reports folder to open it and then click on the generated report in .xlsx format to preview it.

LMS Report Types

Learners Activity System Report:

This report has learners who have enrolled in the selected courses/curriculums. It includes learner’s start date, completion date, score, rating and other meta data. The report consists of:

Summary – This is a list of matching courses/curriculums with the following info about them

  • Code – Code of the course/curriculum.

  • Name – Name of the course/curriculum.

  • Type – Possible 3 values are Self-Paced, ILT, Curriculum.

  • Status – Possible 2 values are Active, Archived.

  • Credit Hours – Total credit hours a learner would get on completion of the course/curriculum.

  • Instructor – Instructor responsible for the course / curriculum.

  • Not Started Learners Count – Number of learners who have not yet started the course/curriculum.

  • In Progress Learners Count – Number of learners who have started the course/curriculum but have not yet completed it.

  • Completed Learners Count – Number of learners who have completed the course/curriculum.

  • Not Completed Learners Count – Number of learners who have not yet completed the course/curriculum. This will be equal to Not Started Learners Count + In Progress Learners Count.

  • Past Due Learners Count – Number of learners who have not yet completed the course/curriculum and their due date has passed.

Learners – This is a list of matching users with the following info about them.

  • Code – Code of the course/curriculum.

  • Name – Name of the course/curriculum.

  • Type – Possible 3 values are Self-Paced, ILT, Curriculum.

  • User – Full name of the learner.

  • Email – Email address of the learner.

  • User Status – Possible values are Active, Suspended.

  • Hire Date – User’s hire date as per domain’s date format.

  • Manager – User’s manager full name from their profile.

  • Manager Email – User’s manager email address.

  • Role – User’s role from their profile.

  • Title – User’s title from their profile.

  • Location – User’s office location from their profile.

  • Department – User’s departments from their profile.

  • Learner Status – Possible values are Not Started, N% Completed, Completed.

  • Assigned Date – Date when the course/curriculum was assigned to the user. Date will be in domain’s date format.

  • Start Date – Date when the course/curriculum was started by the user. Date will be in domain’s date format. Empty if the user had not started the course.

  • Due Date – Date when the course/curriculum is due to be completed by the user. Date will be in domain’s date format. Empty when no due date.

  • Completion Date – Date when the course/curriculum was completed by the user. Date will be in domain’s date format. Empty if the user has not completed it.

  • Past Due – Shows ‘Yes’ if the user has not completed the course/curriculum on or before the due date, otherwise shows ‘No’.

  • Days After Assigned – Number of days passed since the course/curriculum was assigned to the user.

  • Training Time Spent – Users who have completed a course/curriculum will have this filled in with the value associated to the course/curriculum.

  • Score – User score in the quiz that is in the course. If there are multiple quizzes then it is the average of all the quiz scores.

  • Rating – Rating given by the user after he is completed the course/curriculum.

Learners Completion System Report:

This report has learners who have completed the selected courses/curriculums. It includes learner’s start date, completion date, training time spent, score, rating and other meta data.

The report generates 2 sheets in the XLS with the following information:

Summary – This is a list of matching courses/curriculums with the following info about them

  • Code – Code of the course/curriculum.

  • Name – Name of the course/curriculum.

  • Type – Possible 3 values are Self-Paced, ILT, Curriculum.

  • Status – Possible 2 values are Active, Archived.

  • Credit Hours – Total credit hours a learner would get on completion of the course/curriculum.

  • Instructor – Instructor responsible for the course / curriculum.

  • Completed Learners Count – Number of learners who have completed the course/curriculum.

Completed Learners – This is a list of matching users with the following info about them.

  • Code – Code of the course/curriculum.

  • Name – Name of the course/curriculum.

  • Type – Possible 3 values are Self-Paced, ILT, Curriculum.

  • User – Full name of the learner.

  • Email – Email address of the learner.

  • User Status – Possible values are Active, Suspended.

  • Hire Date – User’s hire date as per domain’s date format.

  • Manager – User’s manager full name from their profile.

  • Manager Email – User’s manager email address.

  • Role – User’s role from their profile.

  • Title – User’s title from their profile.

  • Location – User’s office location from their profile.

  • Assigned Date – Date when the course/curriculum was assigned to the user. Date will be in domain’s date format.

  • Start Date – Date when the course/curriculum was started by the user. Date will be in domain’s date format. Empty if the user had not started the course.

  • Due Date – Date when the course/curriculum is due to be completed by the user. Date will be in domain’s date format. Empty when no due date.

  • Completion Date – Date when the course/curriculum was completed by the user. Date will be in domain’s date format. Empty if the user has not completed it.

  • Training Time Spent – Users who have completed a course/curriculum will have this filled in with the value associated to the course/curriculum.

  • Score – User score in the quiz that is in the course. If there are multiple quizzes then it is the average of all the quiz scores.

  • Rating – Rating given by the user after he is completed the course/curriculum.

Learners Not Enrolled System Report: This report has users who have not enrolled in the selected courses/curriculums. It includes user’s name, email and other meta data.

In this report selecting one of more courses or a course criteria is required to generate this report.

The report consists of:

Summary – This is a list of matching courses/curriculums with the following info about them

  • Code – Code of the course/curriculum.Name – Name of the course/curriculum.

  • Type – Possible 3 values are Self-Paced, ILT, Curriculum.

  • Status – Possible 2 values are Active, Archived.

  • Credit Hours – Total credit hours a learner would get on completion of the course/curriculum.

  • Instructor – Instructor responsible for the course / curriculum.

  • Non Enrolled Learners Count – Number of users in the domain who have not enrolled in the course/curriculum.

Non Enrolled Learners – This is a list of matching users with the following info about them

  • Code – Code of the course/curriculum.

  • Name – Name of the course/curriculum.

  • Type – Possible 3 values are Self-Paced, ILT, Curriculum.

  • User – Full name of the learner.

  • Email – Email address of the learner.

  • User Status – Possible values are Active, Suspended.

  • Hire Date – User’s hire date as per domain’s date format.

  • Manager – User’s manager full name from their profile.

  • Manager Email – User’s manager email address.

  • Role – User’s role from their profile.

  • Title – User’s title from their profile.

  • Location – User’s office location from their profile.

  • Department – User’s departments from their profile.

Assignment Expiry System Report

This report has learners who have the selected courses/curriculums assigned to them that are to be completed in the selected due date range. It includes learner assigned date, days after assigned, due date and other meta data. The report consists of:

Summary – This is a list of matching courses/curriculums with the following info about them

  • Code – Code of the course/curriculum.

  • Name – Name of the course/curriculum.

  • Type – Possible 3 values are Self-Paced, ILT, Curriculum.

  • Status – Possible 2 values are Active, Archived.

  • Credit Hours – Total credit hours a learner would get on completion of the course/curriculum.

  • Instructor – Instructor responsible for the course / curriculum.

  • Not Started Learners Count – Number of learners who have not yet started the course/curriculum.

  • In Progress Learners Count – Number of learners who have started the course/curriculum but have not yet completed it.

  • Completed Learners Count – Number of learners who have completed the course/curriculum.

This report has learners who have enrolled in the selected curriculum/programs. It includes learner’s start date, completion date, score, rating etc in each of the courses in the curriculum/program. The report consists of:

Summary – This is a list of matching courses/curriculums with the following info about them.

  • Code – Code of the curriculum.

  • Name – Name of the curriculum.

  • Type – Curriculum/Program.

  • Status – Possible 2 values are Active, Archived.

  • Credit Hours – Total credit hours a learner would get on completion of the curriculum.

  • Instructor – Instructor responsible for the curriculum.

  • Not Started Learners Count – Number of learners who have not yet started the curriculum.

  • In Progress Learners Count – Number of learners who have started the curriculum but have not yet completed it.

  • Completed Learners Count – Number of learners who have completed the curriculum.

  • Not Completed Learners Count – Number of learners who have not yet completed the curriculum. This will be equal to Not Started Learners Count + In Progress Learners Count.

Curriculum/Program activity – This is a list of each matching program/step/course/user with the following info about them. The report consists of:

  • Code – Code of the curriculum.

  • Name – Name of the curriculum.

  • User – Full name of the learner.

  • Email – Email address of the learner.

  • Role – User’s role from their profile.

  • Title – User’s title from their profile.

  • Location – User’s office location from their profile.

  • Department – User’s departments from their profile.

  • Step – Name of the step in the curriculum.

  • Course Code – Code of the course.

  • Course Name – Name of the course.

  • Learner Status – Possible values are Not Started, N% Completed, Completed

  • Start Date – Date when the course in the step was started by the user. Date will be in domain’s date format. Empty if the user had not started the course.

  • Completion Date – Date when the course in the step was completed by the user. Date will be in domain’s date format. Empty if the user has not completed it.

  • Training Time Spent – Users who has completed the course in the step will have this filled in with the value associated to the course.

  • Score – User’s quiz score is in the course that’s in the curriculum. If there are multiple quizzes, then it is the average of all the quiz scores in the course.

  • Rating – Rating given by the user after he is completed the course in the step.

Notification

All network admins are notified when a new report request is completed via a notification feed and an email depending on the Notification settings.

  1. Go to Admin Portal > Notifications > Settings tab.

  2. Click the Change button from the Configure Notifications.

  3. Click the General Settings tab and select the checkbox for 'On completion of the generate report request' to turn ON the notifications (notification feed and email).

  4. Click the Apply Settings button to apply the changes.

Default Permissions

Any network administrator or the owner of the folder/file can select “Share Permissions” for the file from the files details or by right clicking the folder 3-dot settings.

  1. From the File, go to Reports and select any report.

  2. Select Share Permissions by right clicking the folder 3-dot settings.

  3. See who the file is currently Shared With.

  4. See the permission level for user the file has been shared with.

  5. Click on Make Full Company to make the file available to all users within the company. If you select to do this, you can stop sharing the file at any time.

  6. You can share with more colleagues, teams, or anyone outside the company.

    • Click Share with more.

    • Select either Colleague or Teams or anyone outside the company.

    • Select permissions (owner, editor etc) from the list.

    • Write any message if you wish too.

    • Select Share.

  7. Click Close to close the Share Permission dialog box.

All network admins are notified when a new report request is completed via a notification feed and an email depending on the Notification settings.

The generated excel reports are classified and stored in folders under Files > Reports.

By default, the generated reports are shared with all the domain admins, and they are notified every time a new report request is completed.

Reports can be viewed, downloaded, and shared like other excel documents with users inside and outside of MangoApps.

FAQs

What is the data available in the generated reports?

Each generated report is exported as a Excel file (.xlsx) and contains two spreadsheets - Summary and Data.

  1. Summary: Graphical representation of the data in the selected report for the specified period.

  2. Data: Detailed information related to the selected report for the specified period.

For each available report:

  1. Active Users Report

    • Summary:

      • Total Users: The total numbers of network users and guest users created/signed up/invited on or before the report's end date . The report counts deactivated users in the total.

      • Active Users: The total numbers of network users and guest users who did at least one activity during the time period.

    • Data:

      • User: The name of the user.

      • Employee ID: The unique employee ID of the user as specified in their profile.

      • Job Title: The job title/designation of the user as specified in their profile.

      • Location: A user's office location as specified in their profile.

      • Date of Joining: The date (in MM/DD/YYYY format) when the user joined the organization as specified in their profile.

      • Last Active: The date on which the user performed at least on activity or logged in at least once into the domain during the time period.

      • Custom Fields: Data from the custom fields as specified in their profile.

  2. Active Teams Report

    • Summary:

      • Total Teams: The total numbers of teams during the time period . The report counts archived teams and does NOT count deleted teams in the total.

      • Active Teams: The total numbers of teams where some activity happened during the time period .

      • Top Active Teams: The top five teams where the maximum number of activity happened during the time period.

    • Data:

      • Teams: The name of the team.

      • Team Admins: The email IDs of the team admin(s).

      • Activity Score: The total number of activity that happened in the team during the time period .

      • Type: Is the team a project, group, department or opportunity.

      • Custom Fields: Data from the custom fields for the teams.

  3. Users Activity Report

    • Summary:

      • Top 5 users by reaction: The top 5 users who did the maximum reactions in the time period .

      • Top 5 users by views: The top 5 users whose viewed the maximum number of wikis, pages, posts in the time period .

      • Top 5 users by comment and replies: The top 5 users whose did the maximum comments and replies in the time period .

      • Top 5 users by updates: The top 5 users who did the maximum updates in the time period.

    • Data:

      • User: The name of the user.

      • Employee ID: The unique employee ID of the user as specified in their profile.

      • New Content: The total number of new content posted by the user in the time period.

      • Views: The total number of views on wikis, posts and pages posted by the user in the time period.

      • Comments and Replies: The total number of comments and replies by the user in the time period.

      • Reactions: The total number of reactions by the user in the time period.

      • Location: A user's office location as specified in their profile.

      • Custom Fields: Data from the custom fields as specified in their profile.

  4. Influencers Report

    • Summary:

      • Top Contributors: The top 5 users who did the maximum activity during the time period .

      • Top Replied to Users: The top 5 users who received the maximum number of replies on their updates during the time period.

      • Most Popular Users: The top 5 users who received the maximum number of reactions on their updates during the time period .

      • Most Mentioned Users: The top 5 users who received the maximum number of mentions during the time period.

    • Top 15 contributors:

      • User: The name of the user.

      • Job Title: The job title/designation of the user as specified in their profile.

      • New Content: The total number of new content posted by the user in the time period.

    • Top 15 replied to users:

      • User: The name of the user.

Can I turn OFF the notifications for Reports?

Yes, to turn OFF the notifications on completion of the generate report requests for all network admins and team admins:

  1. Go to Admin Portal > Notifications > In-App & Email tab.

  2. Click the Configure What's Important button.

  3. Click the General Settings tab and unmark the checkbox for 'On completion of the generate report request' to turn OFF the notifications (notification feed & email).

  4. Click the Save Settings button to apply the changes.
