The Manage Users menu in the MangoApps Admin Portal allows administrators to manage users and their information effectively. The Manage Users tab provides a list of all users, along with various actions administrators can perform, such as inviting users, resetting passwords, changing email addresses, activating or deactivating users, and more.
The List of Users displays details of all users within your domain, allowing you to assign organizations, managers, and departments as needed. Using the User Tools dropdown, administrators can manage user access, roles, and settings, apply bulk actions, and export user data efficiently.
List of users: Details all users on your domain. Details include assigned organizations, managers, and departments a user has if they have been assigned these details on your domain.
User checkbox for actions: Mark the checkbox next to a user to perform actions on them from the User Tools drop-down list. You can perform certain actions on multiple users such as Send Invites, Activate, Deactivate, Make Administrator, Remove as Administrator, Set Locale, View Temporary Password, Assign (Groups & Projects, Organization, Departments, and Manager), Convert to Network User, Export Users, and Export MangoApps Email IDs.
User Tools: Click the User Tools button to display the actions you can perform on the selected user(s).
Administrators can filter the user list using multiple criteria. Search users by name, email or login ID, Employee/External ID as well as a few additional options.
Status: Filter by Active, Deactivated, Pending, or Rejected users.
Role: Search for Network Users, Admins, Guest Users, or Organization Admins.
Manager: Search for users under a specific manager using the look ahead box.
Login Status: Filter by users who have logged in today, this week, this month, or never logged in.
Departments & Organizations: Filter users by department, organization, or users who are not part of any organization.
Location: Find users based on office location.
The User Tools dropdown menu allows administrators to manage user access, status, and roles, oversee organization settings, and handle export options.
Send Invites: Re-send invitations to users who have not received them.
Get Magic Login Link: Generate a one-time login link for guest users.
Reset Password: Assign a new temporary password (not applicable for SSO users). The user can change it via the User Portal.
Change Email Address: Update a user's email while retaining their account data.
View Temporary Password: A temporary password is available only if the user has never logged into MangoApps or if an admin has reset their password. Upon their next login, the user must create a new password, which will not be visible here. All passwords in MangoApps are securely encrypted at rest.
Accept/Decline Invitation: This option will appear when users are invited to the domain by non-admins. For information on these types on invitations, click here.
Activate: Restore access to deactivated users.
Deactivate: Suspend a user while retaining their content.
Delete: Permanently remove a user while keeping their contributions as "Anonymous."
Setup Vault: Manage a user's Vault settings.
Make/Remove as Administrator: Grant/Revoke network admin privileges. Guest users can not be granted admin privileges.
Convert to Network User: Change a guest user’s role to a full network user.
Make Restricted User: Convert a network or guest user to a Restricted User.
Edit Profile: Modify user details.
View Profile: View the selected user's profile.
Set Locale: Change a user's default language setting.
Assign Groups, Organizations, Departments, Manager, or Location: Place users in appropriate teams and reporting structures.
View Org Chart: See the reporting structure of a user.
View Device Access Log: Check login history and device records.
View Temporary Password: Retrieve the temporary password for first-time logins.
Export Users: Download user data in .csv or .xls formats.
Export MangoApps Email IDs: Export MangoApps-generated email aliases.
The Manage Users tab is available only to Network Admins and Organization Admins, with specific actions varying based on their role.
This guide provides an overview of managing users in MangoApps, helping admins effectively organize, search, and perform bulk actions on users within their domain.
Exports the details of users to a .csv or .xls file. You can export the details for Selected Users Only, Network Users Only, Guest Users Only, Never Logged In Users Only, Team Admins Only, Deactivated Users Only, or All Users.
In the Export Users pop-up, select the type you data export you want in the Select Type drop-down.
In the Select Format drop-down, select the file format for the data export.
The exported data file is available in Admin Portal > Home > Exported Data. Also, the recently exported files are displayed in the Exported User History section in the Export Users pop-up.
All network admins receive a notification and an email when the data export is ready for download.
Exports the aliases to a .vcf or .xls file of all active users on your domain. Aliases are users' MangoApps email IDs generated by the system if enabled via Admin Portal > Email > Configuration > User Email Addresses > Assign MangoApps Email address to all users.
The exported data file is available in Admin Portal > Home > Exported Data.
