Domain and governance admins can manage and view a consolidated list of all content items handled by the auto governance engine in their network. This is accessible from the Admin portal under Governance > Items. The list displays content at various stages of auto governance, identified by their status: Verified, Unverified, or Due for Archival.
The Items tab includes several columns to provide detailed information about each content item.
The Item Name column shows the name of the page, file, wiki, post, library, or course.
The Item Type column indicates the type of content, which can be a Page, File, Wiki, Post, Library, or Course.
The Status column reflects the governance status of the item, which can be Verified, Unverified, or Due for Archival.
The Reviewer column lists the reviewers or teams assigned to review the content, along with the days remaining for verification or archival.
The Days Remaining column shows the number of days until the item changes its status based on its current governance state.
Admins can click each column name to sort all columns (except Action) in ascending or descending order, with the default sort order being by days remaining, in descending order. Advanced searches can be performed using the Item Type (Page, File, Wiki, Post, Library, Course) and Status (Verified, Unverified, Due for Archival) filters.
Domain and governance admins have several actions they can take on the content items from the 3-Dot action menu. They can change the auto governance review or archival cycle, send or resend items for review immediately, mark unverified content items as verified, and archive content items immediately.
To manage auto governance settings for the item, click Manage Auto Governance. Auto governance is OFF by default. When turned ON, the review date and the next review date will be displayed in the domain's set date format. In the Advanced section (collapsed by default), select To be Reviewed/To Be Archived and the Time Period Value from the list, then click Save to update the settings. A confirmation message, Auto governance settings successfully updated, will appear.
The dropdown value set for specific content items will default to the domain's value if not otherwise specified. If dropdown values change, the New Review date/New Archival date will be shown.
This action is available for items with the status of Verified or Unverified. Select the item and click Yes to send a notification to the correct user. The item will be marked as unverified (if not already) and a success message, "Review request notification has been successfully sent", will appear.
This action is available for all items on the list. Select the item and click Yes to archive the content item. A success message, Item has been successfully archived, will appear and the item will move to the Archived tab.
Domain and governance admins can perform the above actions in bulk. They can also use search and sort functions to filter and organize the list of items effectively.
