Email digests are often preferred by users who want to stay informed but do not have the time to regularly check multiple sources. They provide a concise and easily scannable overview of relevant info

Content

Network admins can send full content details or only a link to the content within the email notifications for users.

There are two types of email notifications generated from MangoApps:

  • System-generated emails: These are email notifications when administrative actions like adding users to a team, password reset, archiving of a team, etc., are performed emails sent.

  • User-generated emails: These are email notifications when user actions are performed. Examples of this include

    • New status update

    • New post

    • New comment on a post

    • A new reply to a comment

When the admin selects the option 'Send Full Details in Email Body' under Email > Content > User Generated Emails in MangoApps, emails can include the complete content for posts, campaigns, and other items.

Furthermore, the content sent in these emails is now compatible with Microsoft Outlook 2013, 2016, and 2019 desktop email clients. This compatibility extends beyond Outlook Web compatibility.

This support is available only when single blocks are in each row.

  1. System-Generated Emails: Select the content to be sent to users within the email notifications for system activities.

  2. User-Generated Emails: Select the content to be sent to users within the email notifications for user activities.

  3. Save: Click the Save button to apply the settings for the email content.

Rejected list

Emails were sent from (outgoing) and into (incoming) MangoApps that were rejected or bounced.

Overview

The Rejected List displays all external emails rejected by the user's email service.

The search bar allows admins to access the items in the rejected list using 'email address (under admin portal > emails > rejected list)

Export of the list in CSV with reason for rejection is available for in depth analysis.

  • Photo: This section displays the user's picture if it exists in the system.

  • User Name: User Name associated with the rejected email user.

  • Email Address: Email address linked to the user's account.

  • Inbound/Outbound: Indicates whether the rejected email was intended for the user (inbound) or sent by the user (outbound).

  • Last Attempted On: The most recent date and time when the system attempted to send an email.

  • Reason for Rejection: Explanation for why the email was rejected.

  • Action Taken: The action performed by the MangoApps system in response to the rejected email.

Digest

Post summary:

Post digest emails can be configured to: personalize the digest email subject, set a desired delivery schedule, include content by specific categories or content location, and a maximum number of posts can be set for the digest.

Digest customizes the content of post-digest emails (daily or weekly).

Digest frequency: The configuration setting will be displayed when the digest frequency is never set, weekly or daily.

The digest frequency option provides the following choices:

  1. Never: The post summary email will not be sent by default when selecting the "Never" option. However, if a specific user has enabled their digest preference, they will still receive the digest according to their chosen frequency. This behavior remains the same as it is currently implemented.

  2. Weekly or Daily: When the "Weekly" or "Daily" option is selected the following defaults apply for both existing and new domains:

    • Channel: The channel for sending the digest will be email.

    • Send on: The email will be sent on Fridays at 2:30 PM.

    • Default Subject: The default subject line for the email will be "Your Post Digest Email."

    • Default Group by: The posts will be grouped with the company posts appearing first, followed by the team posts.

    • Default Order by The posts will be ordered from newest to oldest.

    • Default Max Posts (total): Each group will contain up to 5 posts.

A preview option will also be available to users, allowing them to see the content included in the digest email.

Channel to send: Choose how the digest is sent. The delivery method is email or smart select. Email is selected by default, smart select will first send the digest to users’ emails, but if an email is not deliverable or there’s no email for the user, it will send them the digest via private message. Here are two options available for sending the digest.

  1. Email: This option follows the current behavior where the digest is sent via email. It is the default setting for both existing and new domains.

  2. Smart Select: When the "Smart Select" option is chosen, the following process is followed:

    • The digest is initially sent via email.

    • If a user does not have an email address associated with their account, or if the email delivery fails, the digest will be sent through a private message instead.

Please note that the default setting for both old and new domains is emailing the digest.

Send On: Set the delivery Schedule - choose the exact day and time frequency.

There are two options for selecting the time to send the email digest:

  1. Day: Users can choose a specific day of the week from a dropdown menu. The options in the dropdown include Monday, Tuesday, Wednesday, Thursday, Friday, Saturday, and Sunday. The default selection for both new and old domains is Friday.

  2. Time: Users can select the time for sending the email digest from a dropdown menu that displays time slots in half-hour intervals. The dropdown contains options starting from 10:00 AM and continuing throughout the day until 11:30 PM. The default time for both new and old domains is 2:30 PM.

It is important to note that the dropdown menu for selecting the time should open at the previously selected or default time when viewed. Regarding the subject of the email digest, please provide further details or specifications.

Subject: Customize the subject line for the post-digest emails. Previously, the default title for the post-summary digest was not configurable. However, the default title for old and new domains will be changed to 'Your Post Digest' for daily and weekly digests. Users will have the flexibility to modify the subject according to their preferences. They can choose a subject that suits their needs, considering that the maximum allowed character limit for the title is 50 characters.

Group by: Company posts followed by team posts, or by defined post categories. The post categories option allows admin users to select and order their desired categories.

By default, the post summary digest will be organized as "Company post followed by team posts." However, this order can be customized by selecting a different option from the dropdown menu.

  • "Company post followed by team posts": This arrangement will display all company posts first, followed by team posts.

  • "Post category": When the "Post category" option is selected, the post digest will be based on the selected post categories. It will replace the company and team posts with posts from the chosen categories.

To select post categories, a button will be provided. Clicking on this button will open a popup displaying a list of parent categories. The parent categories will be listed alphabetically, and child categories under each parent will not be shown.

At least one category must be selected to save the post-summary changes. Users can check the categories they want the posts to be displayed. Once the categories are selected, the button will change to "Edit categories," the selected categories will be shown below the dropdown.

Users can also reorder the selected categories, and the order of the posts in the digest will reflect this arrangement. The maximum number of posts displayed per category will depend on the configuration settings.

If no categories are selected, the popup will appear blank and suggest creating categories. If no posts are in a particular category, that category will not be shown in the digest.

This allows for a flexible and customizable post digest tailored to specific post categories and their display order.

Order By

By default, the order of posts in the digest will be set to "Newest to Oldest" for both new and old domains. However, users can select a different "Order By" option from the dropdown menu.

The available "Order By" options are:

  1. Newest to Oldest: This option will order the matching posts with the newest posts displayed at the top, followed by older posts.

  2. Oldest to Newest: This option will order the matching posts, with the oldest posts displayed at the top and the newest posts.

  3. Most Viewed First: This option will order the matching posts based on the number of views, with the most viewed post displayed at the top.

  4. Most Liked First: This option will order the matching posts based on the number of likes, with the most liked post displayed at the top.

  5. Announcements or Must Read First: This option will prioritize matching posts based on announcements, followed by must-read posts. If there are no announcements, only the must-read posts will be shown.

When there are announcements, must-read posts, and posts with both announcement and must-read status, the order will be oldest to newest.

The selected "Order By" option will apply to both weekly and daily digests and will be applicable under both the "Company followed by team" and "Under each post category" groupings.

Max Post

The default setting for the maximum number of posts displayed in each section or category of the digest will be 5 for both old and new domains.

Users have the option to select a different value from the dropdown menu. The available options are:

  • 5

  • 10

  • 15

  • 20

  • 25

By selecting the desired value from the dropdown, users can adjust the maximum number of posts shown in each section or category of the post summary digest.

Preview

Clicking on the "Preview" button will open a preview of the post digest in a popup window.

The content displayed in the preview will be dynamic and based on the selections made. The list of posts fetched in the preview will be specific to the logged-in admin user. Regarding the post email, the following updates have been made:

  • Older Emails: The preview will display a screenshot of how the post digest email appeared in the past.

  • New Email: The preview will also provide a screenshot of the updated post digest email format. The subject line has been removed from the image in this updated format and will only be displayed as text in the content area. The logo will be visible within the content of the email.

The email's subject will be the subject entered by the admin, allowing for customization of the email subject line.

Save:

Upon clicking the "Save" button, an option will prompt the admin to confirm whether they want to apply the changes for all users. By default, individual user changes made to their settings will not be overwritten.

We have introduced a setting to allow for the explicit overwriting of user changes. By default, this setting is set to "Off." When the setting is "Off," the admin changes will not be applied to user settings.

However, when the setting is switched to "On," it will enable to overwrite of any user changes with the new admin-set changes.

During the saving process, the admin can select whether to overwrite the setting, providing flexibility and control over how the changes are applied.

Social Post Digest:

Choose your preferred time frame (daily, weekly, or never) to receive a summary of social media posts.

Network Summary:

Go to Network Summary and select the time frame for receiving a digest summarizing network activity.

You can select from given timeframe: Daily, Weekly or never.

When you click the "Save" button, an option will prompt the admin to decide whether they want to apply the changes for all users. By default, individual user settings will not be overwritten.

By default, this setting is set to "Off." When the setting is "Off," the admin changes will not be applied to user settings.

However, when the setting is switched to "On," the admin changes will overwrite any previously applied user changes with the new admin settings.

During the saving process, the admin can choose whether to overwrite the setting.

Unread Chat:

Receive a summary of unread chats within specific time intervals (e.g., every 4, 8, or 25 hours).

Select the timeframe to receive the unread chat summary from the list.

Save: When the admin clicks on the "Save" button, a prompt will appear, asking if they want to apply the changes for all users. By default, any changes made by individual users to their settings will not be overwritten.

By default, this setting is set to "Off." When the setting is "Off," the admin changes will not be applied to user settings.

However, when the setting is switched to "On," the admin changes will overwrite any previously applied user changes with the new admin settings.

During the saving process, the admin has the option to choose whether or not to overwrite the setting.

Preview: Preview functionality has been moved to a popup screenshot. The preview should display dynamic data specific to the logged-in user and the selected period.

Task Summary:

Opt for a daily, weekly, or never task summary digest.

Save:

When the admin clicks the "Save" button, a prompt will appear, allowing them to apply the changes for all users. By default, individual user changes made to their settings will not be overwritten.

By default, this setting is set to "Off." When the setting is "Off," the admin changes will not be applied to user settings.

However, when the setting is switched to "On," it will overwrite any previously applied user changes with the new admin-set changes.

The admin can select whether to overwrite the setting during the saving process.

Preview:

This preview will display dynamic data specific to the logged-in user and the selected time.

DLP Policy Match:

Choose the frequency (never, daily, or weekly) for receiving notifications about matches with Data Loss Prevention (DLP) policies.

Save:

When the admin clicks the "Save" button, a prompt will appear, allowing them to apply the changes for all users. By default, individual user changes made to their settings will not be overwritten.

By default, this setting is set to "Off." When the setting is "Off," the admin changes will not be applied to user settings.

However, when the setting is switched to "On," it will overwrite any previously applied user changes with the new admin-set changes.

The admin can select whether to overwrite the setting during the saving process.

Preview:

The dynamic data in the preview will be customized to display information for the logged-in user and the selected period.

Post digests in email (for both web and mobile)

Post digests in email (for both web and mobile) have been implemented with the following features:

  1. Default Subject: The default subject line for the email will be 'Your Post Digest'.

However, the subject displayed in the email will be configured in the admin portal for post summaries.

  1. Logo Placement: The company logo will be positioned at the beginning of the email content.

  2. Date and Title Removal: The email digest will no longer include each post's date and title information.

  3. Company Post Priority: In the case of an email containing both company and team posts, the company post will be displayed first, followed by the team posts (with a corresponding screenshot).

  1. Categorized Order: When an email is based on specific categories, the posts will be organized and displayed in the order of those categories.

  2. Responsive Design: The email template will be responsive, ensuring optimal viewing and usability on web and mobile platforms.

Post digest in a private message (web and mobile)

In the post digest section, the message's subject will be the subject explicitly set for the post digest. The "From" field will display as "Mango Helper" and will be set up in the Domain > General Settings. The "To" field will show the recipient's username who received the digest. Each user will have their digest.

The content of the post digest message will be similar to what is sent in the email, and it will be displayed inline within the private message.

The following actions will be available for post-digests:

  1. Mark as Unread: Users can mark the post digest as unread to keep track of unread messages.

  2. Pin it: Users can pin the post digest to save it for later reference.

  3. Actions in three dots: Additional actions can be accessed by clicking on the three-dot menu.

    • Export to PDF: Users can export the post digest to a PDF file for offline viewing or printing.

    • Copy Link to Conversation: Users can copy the link to the conversation where the post digest is located.

    • Archive: Users can archive the post digest to remove it from the active message list.

A comment box will not be available to reply to or leave comments on the post digest because the sender is a system user, not an individual user.

Branding of post-digest email

The branding of the post digest email will be customized based on the user segment. The email header will be sourced from the email header setup in the admin portal specifically for the user segment. This ensures that the branding in the email aligns with the preferences and branding guidelines specified for that particular user segment.
