Overview

The admin settings in the Files module of MangoApps allow network administrators to control various aspects of file management for their domain, including the default PDF viewer, view type, and image analysis features. Administrators can set file and folder sharing permissions, enable uploads via email, determine the maximum video upload size, and more. These settings provide comprehensive control over the file management system, enhancing efficiency and ensuring consistency across the network.


PDF Document Handling

Select the default PDF viewer that should be used to view PDF documents. File owners have the option to override it for their PDF file. Options include:

  • Open in Mango PDF Viewer

  • Open in Browser PDF Viewer

  • Download Option Only. No PDF Viewer

Mango PDF Viewer serves as a direct improvement on the standard Browser PDF Viewer by adding several additional option to aide in file management. For a detailed look at these options, visit the User Portal Files Module guide.


View Type

This setting controls the default view type for files. Options include:

  • Standard - This option provides a browser-based standard scrolling view, allowing users to scroll through the document vertically, similar to how most web pages are navigated. It offers a familiar and straightforward way to read through documents.

  • Flip Book - This view mimics the experience of reading a physical book. Users can flip through the pages horizontally, providing a more interactive and engaging way to browse documents. This format is particularly useful for presentations, reports, and any documents where a page-by-page navigation enhances readability.


Image Analysis

This feature automatically detects and tags images uploaded to the system, aiding in easier search and organization. Options include:

  • None - No automatic image analysis done

  • Auto detect & auto tag - Utilizes the Mango App AI/ML engine to automatically detect labels, objects, and activities in the image. The system then assigns up to 15 hashtags with the highest scores to the image.

  • Auto detect & recommend tags - Uses the Mango App AI/ML engine to detect labels, objects, and activities in the image. It recommends up to 15 hashtags with the highest scores, allowing users to select which tags to apply.

When enabled, image analysis is performed on images uploaded by network users in teams (except unlisted) and in the network drive. The analysis is also triggered when a new version of an image is uploaded. Additionally, if image analysis is turned on, PII (Personally Identifiable Information) detection will be performed according to the DLP (Data Loss Prevention) policies configured in your network.


Maximum Video Upload Size

Sets the maximum allowable size for video uploads. Options include:

  • Default - When this option is selected, the maximum upload size is set to 5GB per video for web uploads and 200MB per video for mobile uploads. This limit applies to all users, including network and intranet administrators.

  • 75/100/200 MB - The selected maximum upload size (75 MB, 100 MB, or 200 MB) per video applies to both web and mobile uploads for all network and guest users. Network and intranet administrators are not subject to this limit.


Additional Options

The following settings provide further customization and control over file management within the Files module:

Only Network Admin Can Set Custom Fields

This restricts the ability to set custom fields to network administrators only, ensuring consistent and controlled use of custom fields. Even file owners cannot set custom fields unless they are network administrators.

Make Hashtag Mandatory Dimension in File Upload

When enabled, this requires users to include hashtags during file upload for better categorization and searchability. This restriction applies even to file owners unless they are network administrators.

Enable Public File/Folder Sharing

Allows files and folders to be shared publicly, making them accessible to users outside the network without requiring authentication. Team owners can turn off this setting at a team level, and file or folder owners can disable it at an individual file or folder level.

Allow the Built-in File Viewer to Display the Content of Any Document

Enables the built-in File Viewer to display document content directly within the module. Over 50 document types are supported, including Microsoft Office files, which use the Office Online Viewer, and PDF files, which use the specified PDF Document viewer.

Allow File Uploads via Email

Users can upload files to the system via email, provided they have permission on the target folder. If a file with the same name exists, the new version will overwrite the existing file. This setting ensures convenience and flexibility in file management.

Disable My Drive

If enabled, the "My Drive" feature is disabled, preventing users from storing personal files within the network. This setting helps enforce centralized file storage policies.

Show System Includes Folder in Files Module

When enabled, system folders are displayed within the Files module, allowing for more comprehensive file management. The System Includes folder is a default location for media file uploads.

Once you have configured the settings as desired Click the Save button located at the bottom of the settings page to apply the changes.


By configuring these additional options, administrators can fine-tune the file management experience to meet the specific needs and policies of their organization.
