Overview

MangoApps provides tools for network admins to manage files more efficiently through this Bulk Administration feature.

The Manage tab displays a table containing all network files, along with relevant details when applicable. These details include the file name, file type, creation or upload date, last updated date, file size, status, and whether the file is under governance. Additional information may include associated hashtags, the number of views, pins, likes, and downloads, as well as the team the file belongs to, who created it, and who last updated it.

The Updated On column shows the date and time when the file's content or any of its properties (such as the description, hashtags, etc.) were last modified.


Search and Filter Options

Network admins can search for files across the domain that they have at least view permissions for. The search supports:

  • Keyword search: Search by file name or related metadata.

  • Content search: Search within the actual content of files (if indexing is enabled).

In addition to the stadard search filters (Language, File Type, etc.), admins can apply the following advanced filters:

  • File Status: Active or Archived.

  • Governance Status: Under governance or not.

  • Duplicate Names: Filter to find files with duplicate names using the "Duplicates Only" option.


Duplicate File Detection

The system identifies files with similar names as duplicates—even if they have different extensions or appended strings.

For example, the following files would be considered duplicates:

  • Employee_Handbook.pdf

  • Employee_Handbook.docx

  • Employee_Handbook_v1.pdf

  • Employee_Handbook_Updated.docx

  • Employee_Handbook_[2023].pdf

  • Employee_Handbook_copy.pdf

  • Employee_Handbook_copy1.pdf

MangoApps uses a name variation-based matching algorithm that ignores file extensions and common suffixes when detecting duplicates.


Available Bulk Actions

After selecting the desired files, admins can perform bulk administrative actions. This bulk action bar will only appear if one or more file checkboxes are marked.

The following bulk options are available:

  • Archive files

  • Add or Remove Governance tags

  • Set Hashtags

  • Delete files permanently. Admins can only delete items they have owner permissions for.


Export File Insights for Analysis

Admins can download a CSV file that includes a complete list of files along with insights data, such as:

  • Number of likes

  • Number of downloads

  • Number of views

  • Number of pins
