Introduction

MangoApps has enhanced its search functionality, providing users with a more robust deep search feature. This powerful search tool is now integrated into the dashboard/home page, allowing employees to find the information they need directly from the homepage. The new search bar offers several advanced capabilities, including best match suggestions, predictive look-ahead, recently searched terms, and saved search items by admins. These features are readily accessible on the home/dashboard page, ensuring a seamless and efficient search experience for users.
In addition, MangoApps equips administrators with search insights and tools to optimize the search function. From the Admin portal, simply navigate to the Search section, where you will find a comprehensive dashboard that empowers admins to fine-tune the search functionality. This enables employees to locate the required information swiftly and efficiently.
MangoApps Federated search introduces the capability to gather search results from various data sources and display them to the user. As part of this update, two pre-configured data sources, Freshdesk and GitBook, have been included for searching.
Moreover, you can submit a request if your company utilizes an enterprise system with search APIs and you wish to incorporate it as a data source within MangoApps. Our team would consider adding it to the Federated search engine. This way, you can leverage MangoApps to search across multiple systems and retrieve comprehensive results.

Search performance insights for admins

On the Insight dashboard you see the summary of:
Insight of Searches:
  • The admin can view the number of searches conducted by employees weekly, monthly, quarterly, and yearly.
  • Admins are provided with summarized insights regarding the top 10 low-quality search results within the past 7 days, 30 days, and 90 days.
  • Admins receive summarized insights on the ten most frequently searched terms within the last 7 days, 30 days, and 90 days.
Insight of Searches with low quality results:
Shows the searches that have produced “no results” or the results were given a “thumbs down” feedback by the users.
Admins can click on the low-quality search items in the insights to see the search results and take one or more of the following actions on them:
  • Assign hashtags to content as per the search terms used by employees to improve their findability.
  • Assign meta data to content to improve findability for employees.
  • Admins can create saved searches for items to make it easier for employees to find important resources.
  • Consider promoting best practices for title names to content creators.
Insights of Top Searched items:
Shows the searches that are frequently searched by users.

Defining custom admin role for search management

  • Network admins can create custom admin roles to analyse the search insights and take actions.
  • Custom admin roles for search management can be setup from Admin Portal > Users > Admin Roles.

Data Source

MangoApps' Federated engine now supports two new data sources: Freshdesk and GitBook. To set up Freshdesk, provide your organization's account details in the Admin portal under Search > Data sources. Test your company's Freshdesk credentials to verify connectivity with MangoApps.
Similarly, to set up GitBook, provide your organization's account details in the same section of the Admin portal. Test your company's GitBook credentials to ensure a successful connection with MangoApps.

Add Data Source

To add a data source, follow these steps:
  1. 1.
    Click on "Add Data Source."
  2. 2.
    Enter a label name for the source in the designated field.
  3. 3.
    Select the desired data source from the provided list.
  4. 4.
    Enter the organization URL in the appropriate field.
  5. 5.
    Provide a name for the organization.
  6. 6.
    Add the API access token if required.
  7. 7.
    Click on "Test Connection" to verify the connectivity of the data source.
  8. 8.
    To delete a data source, click on the delete button.
  9. 9.
    Finally, click on "Apply" to save and apply the settings.

Saved Searches

Search bar gets enhanced to list the user's recently searched terms automatically available to go back to quickly. Search bar now gets admin saved search shortcuts integrated into it to access important company-wide resources quickly. Domain admins can save Search Results for all data sources by going to Tools > Save Search For All Users.
Perform a search and from the search results page choose “Save Search For All Users” for the items to appear on the admin saved searched (Search>Saved Searches).
  • Get Link: Click to copy the saved searches link to the clipboard.
  • View Search Result: Click to view the saved search result in another tab.
  • Rename: Click to rename the search.
  • Delete: Click to delete the record.
The search results page on both web and mobile includes a feedback box for users to provide their feedback on the search results.
Additionally, when no results are found for a search term, MangoApps automatically tracks it as a low-quality experience for employees.
This feedback is recorded and aggregated to translate into insights for the admin.

Relevance Tuning

Relevance tuning enables admins to adjust how different factors are weighted against one another to decide the order of search results when end users sort by the “best match” option.
Admins can fine-tune relevancy settings (from Admin Portal > Search > Relevance Tuning) to maximize search effectiveness in their network.
Relevance settings allow admins to rank the importance of different properties. These properties include:
  • Title: The search term's presence in the "title" field of an item has an impact on its ranking in the search results. The weight assigned to this boost can be configured here. Examples of the "title" field include page titles, file names, post titles, and wiki names. This weight is considered for both predictive look-ahead suggestions and the complete search results.
  • Hashtag: When the search term is detected within the "hashtag" assigned to an item, the item's prominence in the search results will be enhanced according to the configured weight. This weight is considered for both predictive search suggestions and comprehensive search results.
  • Metadata: If the search term is discovered within the metadata linked to an item, the item will receive an enhanced position in the search results according to the configured weight. The metadata encompasses the item description, properties, and custom fields. This weight is considered for both predictive search suggestions and comprehensive search results.
  • From user: If the search term is present in the item posted by a user listed below, the item will receive an elevated position in the search results based on the configured weight. However, this weight will not be applied if the user list is empty. This weight is considered for both predictive search suggestions and comprehensive search results.
  • Time: Among the matched items, prioritize those more recent than others by applying the weight configured here. This weight is considered for both predictive search suggestions and comprehensive search results.
  • Content: If the search term is discovered within the content of an item, the item will receive a boost in the search results based on the configured weight. This weight is only considered in the comprehensive search results, not predictive search suggestions.
Both predictive look-ahead and full search results consider the weights set by the admin to tune the relevancy of search results.
Admins have the control to prioritize content posted from higher-up users (e.g., corporate communication users) over others.
Reset to System Defaults: Admins can reset the relevancy defaults to the recommended system defaults.
Click Save to save the changes.

Predictive Look Ahead

MangoApps' predictive search feature, "look-ahead," will now include new sections displaying matching results from GitBook and Freshdesk.
To view Freshdesk results in the "look-ahead" feature, users must perform a one-time setup by copying and pasting their Freshdesk API key from their profile. After completing this setup, the search results will include a Freshdesk section showcasing the matching results.
If there are no relevant search results within Freshdesk, the Freshdesk section will not be displayed in the "look-ahead" box.
Clicking on a search result from a federated data source will open the corresponding article or page in a new tab, allowing the user to access the full content. For example, if it is a knowledge base article from Freshdesk or GitBook, the user will see the complete content in the new tab.
From the Admin portal, you can rearrange the sections below and save them to apply. The order of sections below will reflect in the search look ahead on web & mobile apps. (Admin Portal>Search>Predictive Look Ahead).
Click Reset to System Defaults to revert changes.

Settings

The new search does deep content search on news feed, messages, pages, posts, files, wiki, notes and events that the user has view permissions in your network. By default, the search results are ordered by best match listing the items with highest relevant score on top. The new search bar supports auto complete, so you can get to a specific content item quickly. Search results reflect the security permissions of your organization as it changes over time. MangoApps new search supports near-instant updates to team access — so users only see search results for content they have access to. It's available on web and mobile apps and your organization can start using the new search by just turning on a switch (from Admin portal > Search > Settings).
Network admins get control to launch the new search bar in two phases.
First phase can be to network admins only and then to Company and Network admins only. (under Admin portal > Search > Settings).

Advanced search operators

MangoApps supports common advanced search operators. These include:
  • Search for an exact match: Put a word or phrase inside quotes. For example, "tallest building"
  • Exclude words from your search: Put - in front of a word you want to leave out. For example, jaguar speed -car

  • You can also combine multiple fields and conditions using the OR operator.
q= apple OR banana, This means that you are looking for results that include either the term "apple" or the term "banana" or both.
  • You want to search for documents that contain The expression "((wanjare OR muk) and siddhar)" represents a logical operation using the AND operator. Let's break it down:
"wanjare OR muk": This portion of the expression means that you are searching for occurrences of either "wanjare" or "muk." The OR operator allows for either term to be present in the results.
"and siddhar": This part of the expression specifies that the results must include the term "siddhar." The AND operator is used here to combine the previous condition (wanjare OR muk) with the additional requirement of "siddhar."
When you combine these conditions using the AND operator, the resulting search will return items that contain either "wanjare" or "muk" (or both), as well as the term "siddhar." It narrows down the search results to only those items that satisfy both conditions simultaneously.
