When navigating through the Projects and Groups modules, users will find several common functionalities that streamline content management and accessibility.
Both Groups and Projects allow users to search by entering relevant keywords. The search function scans both the title and content of the item.
Each module provides sorting options to organize content:
Sort By Category: Gr can be sorted by All Categories, Department, or a specific Category.
Sort By: Groups and Projects can be sorted alphabetically or by their latest activity, with the option to choose ascending or descending order.
Users can refine their view using filters:
Projects: Filter by All Projects, Projects you belong to, Archived Projects, or Project Templates.
Groups: Filter by All Groups, Groups you belong to, Archived Groups, or Group Templates.
All modules offer two display options:
Grid View
List View
Both Groups and Projects offer the option to export Email IDs for the spaces in the module. The export will download a vCard or CSV file that contains the names, email addresses of all your groups. This file can be imported into your email client and can be added to external contact list.
The Group/Project email is automatically generated upon creation of the workspace. This email enables members to send updates directly to the workspace news feed via email.
Though Groups and Projects have many similarities, the major difference lies in the ability for admin users to create Project templates.
Admins can create these Project workspace templates for users within a domain to ensure consistency, efficiency, and ease of use. A couple reasons admins may want to use templates are:
Standardization β Templates help enforce best practices, ensuring all users follow a consistent structure for projects, reducing confusion and inefficiencies.
Time-Saving β Instead of starting from scratch, users can quickly set up workspaces with pre-configured settings, tools, and structures tailored to their needs.
Scalability β As teams grow, standardized templates make it easier to onboard new users and ensure they adhere to organizational workflows without extensive training.
Compliance & Governance β Ensures that all workspaces adhere to company policies, industry regulations, or legal requirements.
Users can access Quick Summary widgets based on the active workspace modules. These widgets are located on the right-hand side of each workspaceβs Newsfeed module.
Regardless of which workspace modules are enabled, the following details will always be displayed:
Your Notification Preferences
Workspace Summary
Workspace Hashtags
Only administrators have the ability to select which workspace modules are visible to all members.
Tasks
When enabled, this module displays a Project/Group Status widget in the Quick Summary section.
The project/group health status is categorized as:
On Track: Most tasks are completed or still within their deadlines.
At Risk: Some tasks are close to missing their deadlines.
Not on Track: Most tasks are overdue.
