This article serves as a centralized reference guide defining key terms and concepts used across MangoApps. Designed to support internal alignment and enhance customer understanding, the glossary includes terminology related to platform features, user roles, modules, and more.


A

Admin Configurations: Contained within the left-hand navigation menu of the Admin Portal. These settings provide control over system-wide behaviors such as user management, permissions, navigation structure, notifications, security, integrations, and more. Admin Configurations allow administrators to tailor the platform's operation and user experience to meet organizational needs.

Admin Dashboard: The default landing page when an admin logs into the Admin Portal. It provides a high-level overview of domain information.

Admin Portal Navigation Menu: The left-hand navigation menu of the Admin Portal that contains configuration settings for managing domain-level functionality.

Admin Roles: Feature located in the Admin Portal under Users configuration, where you can customize permissions for admins and create additional admin roles.

  • Network Admin: A user with global admin permission across the domain. This allows the admin to have full control over all aspects of the domain from general domain management, module functionality, user management, and content management.

  • Intranet Admin: A user with admin permissions for Company and Department Modules.

  • Idea Admin: A user with admin permissions for the Ideas Module.

  • Team Admin: A user with admin permissions to create and manage Projects and Groups.

Advanced Megamenu: The Advanced Megamenu lets you organize links into categorized sections, making it easier for users to quickly find what they need. Unlike the standard Megamenu, the Advanced version supports both top-bar options and flyout menus for enhanced navigation.

AI Assistant: An AI-powered chatbot configured by admins to support various functions such as a search assistant, image creator assistant, or colleague finder.

Alert: A special type of Post that immediately sends push notifications to users and/or displays a popup when they log in, ensuring urgent or time-sensitive information is seen right away.

Announcement: A Post tagged with an "Announcement" flag to signal important organizational news or updates, helping users quickly identify key messages.

Assistants: A setting allowing users to publish content as other users (via “Post as Assistant”).

Auto Governance: Enable an automatic trigger to review/archive actions based on timeframes.


B

Bell Icon: Indicates unread notifications in the top-right of the screen.

Boost: A Post feature that sends reminders or notifications to users who have not yet read a specific Post, increasing engagement and ensuring wider visibility.


C

Call-to-action Button (or Action Button): This action button is a clickable icon that encourages users to do something specific like "Sign up for our newsletter" or "Submit form." These buttons are designed to grab attention and guide users on what to do next.

Campaigns: Automated messages across channels with scheduling and analytics. These can be sent via Email, SMS, and the Messages Module.

  • Single Send: One-time message.

  • Series: Multi-message sequence.

Carousel: A carousel is a widget layout that displays a rotating series of content—often with images—one item at a time. Users can manually scroll through the content using navigation buttons, or it can advance automatically. Carousels are useful for grouping similar, non-essential content—such as announcements or blog posts—into a compact, scrollable section that saves space on the page.

Chat: In-system real-time messaging (via the Chat Module or Messenger App).

Company Module: The Company Module provides employees with easy access to important company content and information. Comprising Pages that display your choice of widgets, the Company Module is used to create a centralized collection of company-wide content, including news and announcements, corporate policies, office procedures, and employee resources.

Color Palette: The configured color palette is used across your company portal to maintain a consistent look and feel that aligns with your company’s branding. It also defines the default color options available to end users, helping ensure visual consistency throughout the portal.

Curriculum: A structured learning path within the Learn Module that groups multiple courses into a sequenced program. Curriculums are designed to guide users through a series of related training topics, often building knowledge progressively. They are ideal for onboarding, certification tracks, or role-based learning programs and can include completion requirements, deadlines, and progress tracking.


D

Dashboard: Created within the Home module, Dashboards provide tailored support for every employee’s day-to-day needs. Customizable to deliver targeted content and updates to users based on role, location, or other criteria, Dashboards provide employees a one-stop shop for relevant tools and information.

Departments: The Departments Module is used to digitally mirror your company’s internal structure. Composed of Pages with your choice of widgets, Departments streamline communication amongst teams, showcasing department-specific information that’s organized and easily accessible.


F

Favicon: A favicon – short for “favorite icon” – is the small icon that appears in the browser tab next to the website's title. It is used to help your users quickly identify your website among many open tabs or in their Bookmarks or Favorites menu.

Files Module: A core module in MangoApps that allows users to upload, store, organize, and manage files within the platform. It supports various file types such as documents, images, videos, and PDFs. The module includes features like version control, permission settings, sharing options, tagging, and folder structures, enabling secure collaboration and easy access to important resources across teams and departments.

  • Files Approval Workflow: An out of the box Workflow for sending a notification to a specific person to approve a file for publishing within the domain.

Flyout: A flyout is a menu that appears when you hover or click on a navigation item that contains sub-navigation items.

Form: A fillable, web-based input document created from a Tracker in MangoApps. Forms allow users to submit structured data through a user-friendly interface, which is then captured and stored as individual entries within the associated Tracker. Common use cases include request submissions, incident reports, and feedback collection. Forms can also trigger automated workflows such as approvals or notifications.


G

Group/Department/Project Admin: A user with admin rights within a specific Group/Department/Project only.

Groups: Workspaces built for communication around roles, locations, or interests.

Guest User: A limited-access user type in MangoApps intended for external collaborators such as clients, contractors, or partners. Guest Users can be added to specific teams to view and contribute to content as needed.


H

Hamburger Icon: This button is represented by three horizontal lines stacked on top of each other (the lines resemble a hamburger, thus the button’s name). When clicked, the hamburger menu reveals a menu or navigation options. When the vertical navigation bar option is used, the hamburger menu can be found in the top-left corner of your portal.

Highlight: A Post feature which increases a Post’s visibility by pinning it to the top of a user’s Home, News Feed, or Posts page according to admin settings, perfect for showcasing major announcements or essential news.

Home Module: A customizable landing page within MangoApps designed to provide end users with quick access to essential tools, content, and updates. The Home Module is typically composed of widgets that display dynamic information such as news, links, tasks, or announcements. It can be configured by administrators to be fully personalized by users or locked to maintain a consistent layout across the organization.

Horizontal Navigation: This menu type appears in the top bar of your screen and provides access to key areas of the domain portal. It typically includes your company logo, a link to the Home page, primary navigation items, the AI assistant, notifications, and other essential tools—making it easy for users to access important features from anywhere.


L

Landing Page: The first page a user sees upon logging into MangoApps or entering a specific area of the platform. Landing pages are designed to surface the most relevant content and tools for the user and can vary based on role, permissions, or navigation settings. Common examples include the Home Module for frontline employees, the News Feed for office workers, or the Admin Dashboard for administrators.

Learn Module: MangoApps’ built-in LMS (Learning Management System), used for creating, delivering, and managing training content. The Learn Module allows administrators to create courses, organize them into Curriculums, track learner progress, assign training by role or team, and issue certifications. It supports various content types, including videos, documents, quizzes, and SCORM packages, making it ideal for onboarding, compliance training, and continuous learning programs.


M

Megamenu: The megamenu is a large, expanded menu that drops down from the Horizontal Navigation bar. It allows you to display many navigation options that may not all be able to fit in the horizontal navigation bar.

Message(s): A replacement for email, Messages are asynchronous communications sent through the Messages Module, intended for long-form, noncritical conversations. The Messages Module provides all employees with an internal email solution at no additional external cost.

Modules: Modules are the core features and tools enabled within a domain, each with a specific purpose, such as communication, employee engagement, content management, and more. The building blocks of a MangoApps environment, Modules are what Network Users access daily to communicate, collaborate, and stay informed, and domain Admins can configure these Modules to fit your company’s needs. The MangoApps package purchased by your organization will determine which Modules are accessible on your domain. Some examples of Modules include Posts, News Feeds, Groups, Home, Rewards & Recognition, etc.

Must Read: A Post setting that requires users to actively confirm they have read the content, commonly used for critical communications such as policy updates or compliance information.


N

Navigation (Admin Portal): Settings for configuring the User Portal navigation menu.

Navigation Menu: The primary interface element that allows users to access content, features, and modules within MangoApps. Fully configurable based on your company’s needs, items in your domain’s Navigation Menu can be reordered, renamed, grouped, or hidden entirely, ensuring employees only see what’s most relevant to them.

Network User: End users who do not have admin privileges.

News Feed: A dynamic, real-time stream in MangoApps that displays Updates, Posts, and activities from across the platform, including team and user interactions. The News Feed can be personalized based on the user’s subscriptions, teams, and interests.

Note: Private documentation tool with collaborative capabilities.

Notes Module: Core module which houses created Notes.

Notifications: Alerts about system activity.

  • Domain Settings: System-wide notification defaults.

  • User Settings: Individual user preferences override domain defaults.


P

Page: A customizable content area within MangoApps used to present information, resources, and widgets to users. Pages can be created at the company level or within teams such as Groups, Departments, and Projects. These Pages support layouts, widgets, and embedded content, allowing admins and team owners to tailor the experience for different audiences.

Page Container: A page container is the main area where the content of a webpage is displayed. It can hold (or “contain”) all the text, images, videos, and other elements on the visible part of a webpage.

Portal: Your company’s portal is a central online hub where you and your coworkers can access important information, such as company news, documents, and updates. Every time someone logs into MangoApps, they enter your organization’s internal portal.

Post as Assistant: A functionality that allows content to be ghostwritten or posted on behalf of someone else, enabling assistants or delegated users to publish messages efficiently.

Posts Promotion Banner: A banner displayed at the top of the website that highlights a specific post for 24 hours. These promoted posts are created by an admin using the Compose a Post feature, helping to draw attention to important updates or announcements.

Posts: Long-form, multimedia content used to communicate announcements, company-wide updates, and other important information. They can include text, images, videos, links, and attachments to convey messages clearly and effectively across the organization.

Posts Module: The Posts Module is a core communication feature within MangoApps, allowing organizations to share updates, announcements, and important information, with options to mark posts as Announcements, boost visibility to unread users, require acknowledgment through Must Read settings, ghostwrite using Post as Assistant, and highlight key messages by pinning them to the top of relevant pages.

Projects: Workspaces for structured collaboration and long-term project tracking.


R

Read Receipts: An option available for News Feed Updates that lets the author require users to acknowledge or confirm they have read a communication, providing tracking and accountability.

Restricted User: These users have limited permissions across MangoApps to prevent them from actively contributing new content or engaging in communication.


S

Security: a group of configurations in the Admin Portal.

Slider: A layout format used in widgets and pop-up windows that displays content one slide at a time, allowing users to move through multiple slides in sequence. Sliders are often used to present step-by-step processes or related content without using much screen space. Navigation dots below the slider indicate the number of slides and let users click to move between them.


T

Task: Assignable item in the Tasks Module.

Teams/Workspace: Umbrella term for Groups, Departments, Projects.

Three-Dot Menu: A Three-Dot menu, sometimes called a "kebab menu," is a button represented by three dots aligned vertically. When clicked, this menu reveals additional options or actions you can take on the screen.

Tracker: Custom spreadsheet database with Form-building capability.

Tracker Workflow: An automation feature that streamlines processes within Trackers by defining a sequence of actions triggered by specific events. This functionality helps reduce manual tasks, ensures consistency, and enhances efficiency in data management and communication.

  • Custom Workflow: A Workflow built from scratch. Can be any one or combination of: row action, Approval, Inform.

  • Approval Workflow: An out-of-the-box Workflow type allowing a notification to go out to specific users to approve of a request in a Tracker. Commonly used for PTO requests that require manager approval.

  • Inform Workflow: An out-of-the-box Workflow type enabling the sending Messages and notifications based on Tracker events.

  • Publish Workflow: An out-of-the-box Workflow type that automates the process of converting Tracker entries into Posts that are published to specific teams or workspaces. This Workflow type is particularly useful for regularly scheduled communications, such as weekly updates or announcements, ensuring that content is shared consistently and efficiently.

  • Task Workflow: An out-of-the-box Workflow type that automates the assignment and management of Tasks based on Tracker entries. When a specific trigger condition is met—such as the addition or modification of a Tracker entry—the workflow can assign Tasks to designated users or teams, set due dates, and define Task details.

  • Form Workflow: An out-of-the-box Workflow type that serves as an automation tool which prompts users to complete a Form based on specific triggers, such as scheduled times or user login events.


U

Universal Compose Icon: Icon in the top-right for content creation.

  • Compose Menu: Menu with content creation functions.

Update: Threaded communication inside a team (seen in News Feeds) designed for quick, “in-the-moment" communication.

User Portal / Admin Portal: User Portal = end user interface; Admin Portal = admin interface for managing the domain.

User Segment: User grouping by criteria.


V

Vertical Navigation: The menu located on the left side of your portal that contains links to various sections and pages within your company’s domain. It helps users quickly and easily navigate to different areas.


W

Widget: A widget is a small, interactive section on the page that functions like a mini-app. Each widget is designed to display specific information or perform a simple task. By adding different types of widgets to your dashboard, users can quickly view important updates and content at a glance—without needing to navigate to other pages.


AI Studio Glossary

A

Access Control: Access Control refers to the permissions set within MangoApps to determine which user segments access specific AI Assistants.

AI Agent: An AI Agent is an autonomous tool configured to perform specific tasks using GenAI prompts and Large Language Models (LLMs) within Tracker Workflows.

AI Assistant: An AI Assistant is an interactive chatbot that provides real-time, contextual responses by leveraging intranet content within MangoApps and integrated content from third-party sources.

AI Service Provider: An AI Service Provider supplies the LLMs used by AI Assistants and Agents, which can include the out-of-the-box MangoApps Managed LLM or third-party providers integrated into the system.


C

Chat Window: The Chat Window is the interface where users interact with AI Assistants.

Company Knowledge Base (KB): The Company Knowledge Base contains organization-wide information, policies, and resources accessible to all employees in the Company module.

Connected Assistant: A Connected Assistant is an AI Assistant that you have created outside of MangoApps and are integrating into MangoApps, enabling access to external knowledge bases or third-party services beyond the native environment.

Custom Assistant: A Custom Assistant is a type of AI Assistant created within MangoApps, allowing customization of its knowledge sources, instructions, and prompts.


D

Default Assistant: The Default Assistant is the AI Assistant that has been configured to always be available for all users and can auto-launch upon user login.


E

External KB: An External Knowledge Base refers to information repositories outside the MangoApps environment, such as SharePoint or Confluence, integrated to extend access to additional resources.


F

Full Network KB: The Full Network Knowledge Base aggregates all accessible knowledge within the organization, providing a comprehensive dataset for cross-functional queries, while remaining permission-aware to each network user.


G

Greeting Message: A Greeting Message is a customizable message shown to the user in the chat window upon launching an Assistant.


I

Instructions: Instructions are specific guidelines provided to AI Assistants or Agents, defining their behavior, response style, and scope of information.


K

Knowledge Base (KB): A Knowledge Base is a centralized repository of information, including documents, wikis, pages, etc. used to train and inform AI Assistants in providing accurate and relevant responses.


L

Large Language Model (LLM): A Large Language Model is a deep learning algorithm trained on vast datasets to understand and generate human-like text for natural language processing tasks.


M

MangoApps Managed LLM: The MangoApps Managed LLM is a proprietary language model hosted within the MangoApps AI infrastructure, ensuring that all AI-generated responses are processed securely within the organization's domain.


P

People Directory KB: The People Directory Knowledge Base comprises employee profiles, including roles, contact information, and organizational hierarchy, enabling information retrieval about personnel.


S

Session: A Session denotes the duration of interaction between a user and an AI Assistant, encompassing the exchange of messages and context maintained throughout the conversation.

Starter Prompts: Starter Prompts are admin-defined queries provided to users to initiate interactions with AI Assistants.


T

Team Knowledge Base (KB): A Team Knowledge Base is a repository tailored for a specific department or project group, containing relevant documents and information that can be used to train an AI Assistant.

Template: A Template is a pre-configured format for AI Assistants or messages, designed to streamline the creation process and maintain consistency across communications.

Tracker Knowledge Base (KB): A Tracker Knowledge Base utilizes data from MangoApps Trackers to either provide dynamic responses using the entire Tracker or pre-defined responses from a selected Question and Answer column.
