Integration with ADP Workforce Now®

Overview

MangoApps is a modern, cloud-based platform that unifies content, communication, training, and operations into a single workspace. By integrating MangoApps with ADP Workforce Now®, organizations can streamline workforce management by enabling single sign-on (SSO), automatic user provisioning, and real-time employee data sync—ensuring that MangoApps always reflects the most current ADP data.


Required Roles

To configure the ADP Workforce Now® SSO integration with MangoApps, specific administrative roles are required on both platforms:

  • ADP Workforce Now® Admin Access: Required to purchase the MangoApps Connector, grant necessary consents, and manage user assignments.

  • MangoApps Domain Admin Access: Required to complete the domain setup, configure sync rules, and manage user roles and permissions. Both admin roles must coordinate closely to ensure seamless integration and maintenance.


ADP Workforce Now® Side Setup

To begin setting up the integration, first navigate to the ADP Workforce Now® Marketplace.

Subscribe to MangoApps Connector

Search the Marketplace and select the MangoApps Connector for ADP Workforce Now®.

On the Create Order tab, choose a MangoApps plan and continue.

Enter your MangoApps domain URL under Additional Information and validate it by clicking the Check button.

Complete the billing and confirmation steps to place the order.


Grant Required Consents

Navigate to My Apps in ADP Workforce Now®.

Launch the MangoApps App and on the Client Authorization screen, click Allow to give consent for data connector and SSO.

Assign Users:

Go to the MangoApps app settings in ADP Workforce Now®. The Users tab displays the list of all users and the actions you can perform to manage the users in your domain.

Click Assign Users, select employees, and submit the assignment.

Users can also be unassigned from the same menu by simply deselecting them from the user list.


MangoApps Side Setup

Once the subscription and consent process is complete in ADP, we will navigate to the MangoApps Admin Portal.

Domain Configuration

The platform initiates the configuration and stores the identifier for future SSO checks.

MangoApps automatically receives the domain and OOID (account identifier) from ADP for the configuration.


SSO Integration

MangoApps will recognize users accessing from the ADP Workforce Now® SSO.

For new customers, data connector consent is a one-time setup step.

When signing out of MangoApps, the user will be signed out from ADP Workforce Now® as well.


Profile Sync & Provisioning

Upon successful domain validation, user profiles are provisioned via Just-In-Time (JIT) provisioning.

MangoApps syncs user data every 15 minutes, including new hires, terminations, and profile changes.


Canceling Subscription

If, for any reason, you wish to cancel your subscription, go to the ADP Workforce Now® Marketplace and click on My Apps.

From the list, select MangoApps and open its settings. Then, click Cancel Subscription.

Please note that cancelling the subscription will remove your access to the MangoApps ADP application.


Testing Considerations

Before rolling out to the broader organization, admins should:

  • Test login via ADP Workforce Now® SSO on both web and mobile platforms.

  • Validate that user profile fields are correctly synced (e.g., name, title, department).

  • Ensure team membership automation is functioning as expected.

  • Test the ADP Workforce Now® Virtual Assistant widget to confirm access to pay, PTO, and shift information.


Security Considerations

Security and data integrity are prioritized in this integration:

  • OAuth 2.0 Protocol is used for token-based authorization.

  • SSO Consent ensures no user credentials are stored in MangoApps.

  • Automatic Suspension of users upon termination from ADP Workforce Now® prevents unauthorized access.

  • Admins control what employee data is exposed through the ADP Virtual Assistant.


End User Experience

Employees benefit from a seamless, secure login experience.

Navigate to the MangoApps login screen and select Sign in with ADP Workforce Now®. Enter ADP credentials and provide one-time consent.

After authentication, users are redirected into their MangoApps dashboard.

Users are automatically organized into teams and departments based on ADP data. When employees are removed from ADP, they are also suspended in MangoApps to maintain security.

ADP can also be added to the My Enterprise Apps menu.

Once SSO is set up, the application will appear under the Admin Portal > SSO > Applications. From there, you can toggle it on to make it visible in the My Enterprise Apps menu—provided it's also enabled in the MangoApps admin portal.

To enable it in the admin portal: Go to Navigation > [Selected User Navigation Group] > Top Right Section > My Enterprise Apps, then click the gear icon and ensure MangoApps is selected and the toggle is enabled.


Rollout Recommendations

To ensure a smooth deployment:

  • Start with a Pilot Group: Assign the integration to a limited group of users to identify potential issues.

  • Train Admins and Support Teams: Ensure both ADP and MangoApps admins are familiar with setup, user assignment, and support flows.

  • Communicate with End Users: Provide guidance on how to log in via ADP SSO and use the virtual assistant features.

  • Monitor Sync Logs and Errors: Regularly review user provisioning logs to catch sync or access issues early.

  • Scale Gradually: Expand to the rest of the organization once the pilot is successful and stable.
