Guest Users

MangoApps supports 3 Domain User Permission levels. Additionally, MangoApps allows teams 3 different member types. User permissions at the team level do not override or apply to user permissions at the domain level. Domain permissions and team permissions are independent.

Domain User Types

  • Creator / Administrator(Network Admin)

    Domain Administrators have complete access to content, users, groups, projects, and related management capabilities.

  • Network User

    A normal user with no administrative priveledges in the domain. Network users can be allowed from external email addresses (outside the company email domain) or restricted to internal email addresses only by the Domain Administrator.

  • Guest User

    A restricted user that ONLY has visibility of the groups and projects they are explicitly invited to. Guest users can be allowed from external email addresses (outside the company email domain) or disallowed by the Domain Administrator.

Project, Group, and Event Users

  • Creators / Administrators(Network Admin & Project/Group Admin)

    Group, Project, and Event administrators can manage users, edit details, invite and confirm invitations to new users. Only Domain Network Users and Domain Admins can create new groups and projects. Events that are part of a project can be planned by guest users.

  • Network User Team Members

    Network user team members can communicate with team members and non-team members that are part of the domain.

  • Guest User Team Members

    Guest user team members can communicate with team members ONLY and cannot know about or contact non-team members in the domain.

What is a guest user?

  • Guest Users do not count towards the number of paid users in your domain.

  • Guest Users cannot see your entire domain.

  • Guest Users have an email address that is different than the Domain Owner’s Email domain.

  • Guest Users are restricted to the groups and projects they have explicitly been invited to.

  • Guest Users cannot search for anything outside of the groups and projects they are invited to meaning that Guest Users cannot see other members or their content unless they are part of the project or and post content to the project or group.

How do I invite guest users?

To invite a guest user to your domain:

  1. Go into a Groups/Projects from the left navigation bar

  2. With “Members selected from the secondary navigation, click “Invite Members”

3. Then in the “People outside your company” box, type email addresses for the guest users you wish to invite. Then click “Invite”.

Additionally, You can click on Group/Project tools from any secondary navigation option and click “Invite members”.

How do I convert a guest user to a network user?

It may be required that a guest user in your domain needs to be converted to a licensed network user to utilize the complete functionalities of MangoApps. Learn how to convert a guest user to a network user here.

How are guest users different than network users in MangoApps?

Guest Users are different than Network Users in MangoApps in the following aays:

  1. Guest Users do not count towards your monthly or yearly subscription cost.

  2. Guest Users are restricted to communications within the projects or groups they have been invited to.

  3. Guest Users are Out-of-Network users with external email address domains.

  4. Guest Users cannot follow any colleague within MangoApps

  5. Guest Users may be removed from the team by any of their group or project teammates

  6. Guest Users can be part of multiple teams

  7. Guest Users if not a member of any team can still have access to the domain and their private messages

  8. Guest Users need to be de-activated from the admin portal to restrict their access to the domain

What is a guest user in MangoApps?

Guest Users in MangoApps are non-paid members of groups and projects. Invitees become Guest Users in MangoApps by being invited to a group or project by Network Users. Guest can never be invited to a Department. Guest users do not have access to the proprietary information that the domain is communicating about outside of the specific project they belong to. Guest Users also cannot follow any colleagues from the MangoApps domain they are a guest of.

How do I add a guest user?

To add a guest user, follow these steps:

  1. Go to the Admin Portal and access the Domain section.

  2. Look for the General Settings tab.

  3. Within the General Settings, locate the Invite Settings.

  4. In the Invite Settings, choose the option that says "Allow Users without a company ID to be invited as a guest in project and group."

How do I upgrade a guest user to a paid network user?

As an administrator, you can upgrade unpaid guest users to paid network users from the admin portal.Learn here on how to convert guest user to a network user.

Do I pay for the guest users in my MangoApps domain?

You do not need to pay for guest users in your MangoApps domain. There can be an unlimited number of Guest Users in any MangoApps domain.

How do I allow adding Guest Users to a Project or a Group?

To allow adding guest users to a project or group:

  1. First make sure that guest users are enabled for the group or project. Click “Admin Tools” button from the top right menu, go to “Settings” to select “Guest User Settings”

2. Once “Guest Users” is enabled for your group or project you can add guest users by their email address by choosing “Members” then “Invite Members”.

3. Then enter the new guest users’ email addresses into the “Invite by E-mail Address” box.

The guest users you invite will only be able to see the content of the project or group that you invite them to. They will not be able to see communications outside of their enabled groups or projects.

Under General Settings > Invite Setting, the network admin/team admin/team creator can set permission to Guest-users to allow sending invite to the project as well.

Checking the setting allows network-users along with the guest-users inside the team to invite users.
