Overview

Network admins can configure the look-and-feel of the styles for posts in MangoApps from the Admin Portal.

  1. 1.
    Style settings: Click preferred style to expand the settings and configure them. Network admins can configure the style settings for Background, Title, Heading 1, Heading 2, Heading 3, Heading 4, Heading 5, Heading 6, Normal text, and Link for posts on the domain.

    Preview: Click the Preview button to view a preview of the configurations before applying them.

    Save Settings: Click the Save Settings button to apply the chosen settings.

Configuring Style Settings for Posts

Network admins can configure the styles for posts to match the unique branding as per the company style guide.

Background

  • Background Color: Select the default background color for the content within all posts.
  • Padding: Select the space around content (in pixels) for the content within posts.

Title

  • Text Color: Select the font color for the post titles.
  • Font Family: Select the default font for the post titles.
  • Font Size: Select default font size for the post titles.
  • Font Weight: Select the weight (or boldness) of the font for post titles.

Heading 1 to Heading 6

  • Text Color: Select the font color for the headings within the post content.
  • Font Family: Select the default font for the headings within the post content.
  • Font Size: Select default font size for the headings within the post content.
  • Font Weight: Select the weight (or boldness) of the font for headings within the post content.

Normal Text

  • Text Color: Select the font color for the text within the post content.
  • Font Family: Select the default font for the text within the post content.
  • Font Size: Select default font size for the text within the post content.
  • Font Weight: Select the weight (or boldness) of the font for text within the post content.
  • Text Color: Select the font color for the links within the post content.
  • Font Family: Select the default font for the links within the post content.
  • Font Size: Select default font size for the links within the post content.
  • Text Decoration: Select to underline the links within the post content.

Purpose of Posts

Posts are blog posts, company memos, newsletter, weekly updates, and more. Posts are typically published once and rarely edited later. The content is typically timely, and relevancy of the content decreases over time. As posts are much easier to create, share, and reach employees anywhere, they often replace mass emails, printed flyers, internal mail, etc. In addition, the digital nature of posts inherently encourages employee engagement via social actions such as comments, reactions, sharing, and analytics.

User Portal > Posts

    Consolidated Posts Widget: Posts widget displaying the 4 recent posts marked as 'Announcement' and/or 'Must Read'. Displayed only if the network admin/intranet admin has enabled it in the Posts module settings.

    Podcasts Widget: Podcasts widget displaying the 5 recent voice-enabled posts. You can click the
    Play button to open an inline audio player and listen to a post. Displayed only if the network admin/intranet admin has enabled it in the Posts module settings.

    Recent Posts: List of all posts recently posted in the user's team. Also, displays posts from public teams if the network admin/intranet admin has enabled the option to display posts from public teams in the Posts module settings.

    Filter Posts: Choose the filter to display posts. MangoApps remembers your chosen filters for the posts list even when you navigate away from the Posts page and come back to it.
    • All: Show all posts in the list.
    • Pinned Posts Only: Show only those posts which you have pinned.
    • Announcement Posts Only: Show only those posts which have been marked as 'Announcement' in teams and company.
    • Must Read Posts Only: Show only those posts which have been marked as 'Must Read' in teams and company.
    • Browse by Category: Click the preferred category to display the posts tagged with the selected category.

    Sort Posts: Choose the filter to sort the posts in the list.
    • Most Recent First: Sort all posts as per the creation time. The most recently published posts are displayed first in the list.
    • Most Liked First: Sort all posts as per the reactions received on a post via the 'Add a Reaction' option. The posts with the most reactions are displayed first in the list.
    • Most Viewed First: Sort all posts as per the total views. The posts with the most views are displayed first in the list.
    • By Admin Set Order: Sort all posts as per the order defined by the network/team admin for posts using the 'Set Order for the Post' option.

    Subscribe: Click the Subscribe button to open the Subscribe pop-up and subscribe to all voice-enabled posts via the Apple Podcasts service or an RSS feed.

    Tools: Click the Tools button to display the drop-down list and then click New Post or View Post Drafts or View Scheduled Posts.
    • New Post: Click the New Post option to display the Share A Post pop-up and create a new team post.
    • View Post Drafts: Click the View Post Drafts option to display the Posts That Have Draft Versions pop-up and view all your posts saved as drafts. You can choose to Discard, Edit, or Publish the draft versions of the posts. Drafts posts saved by domain/intranet admins are visible to other domain/intranet admins also
    • View Scheduled Posts: Click the View Scheduled Posts option to display the Posts That Have Been Scheduled pop-up and view all your posts that you have scheduled to be published in your teams.
      You can choose to Publish, Edit, and Discard the scheduled posts. Clicking the Publish button for a scheduled post, publishes the post in the team immediately irrespective of the defined date/time for publishing.
      You can also click the Copy Link option of the scheduled post to share a link of the post with team members. Link shared for a scheduled post displays the 'This post is not yet published' message for users when they try to access the post.

    Post Views: Click the
    (Views) option to open the Total Views pop-up.
    Total Views: The total number when a user opens the post to view or clicks on the post's link across all platforms since the creation of the post. Every time a user clicks the post link or opens the post to view, the view count is incremented by 1.
    Unique Users: The total number of unique users who have viewed the post across all platforms since the creation of the post. For example - if a user views the post from the web client, and the mobile app on the 1st of April 2019 and views it in again on 30th April 2019 from the same or a different platform, the unique users count will be counted as 1 for the user.
    • Export: Click the Export drop-down to display the options and download the view activity of the current post.
      • CSV: Click the CSV option to download the total view count by all users of the current post to a .csv file.
      • PDF: Click the PDF option to download the total view count by all users of the current post to a .pdf file.

    Voice-enabled post: Signifies that a post is voice-enabled and you can click the Listen (
    ) button to open an inline audio player and listen to the post.

Types of Posts in MangoApps

  • Company posts: Posts created in the Company Module by network admins and intranet admins.
    • Visible to all network users of your MangoApps domain.
    • Company posts can be set as a story - a site-wide banner with a system/custom background and post title by default. A post that's published as a story will be automatically made a site-wide banner for up to 24 hrs. The site-wide banner will be visible to all network users. After 24 hrs, the banner will be automatically removed but the post will remain intact. Most recently published story post will replace any existing story as a site-wide banner.
  • Team posts: Posts created within MangoApps teams - projects, groups, and departments; by network users and guest users.
    • Visible only to team members.
    • Posts published in public teams can be chosen to be displayed to all network users.
    • Team posts CANNOT be set as a story.
  • Posts for followers: For Social Intranet customers only, posts created only for the followers of a user by network users and guest users. For more information, click here.
    • Visible only to the followers of a network user in the social intranet domain.
    • Posts for followers CANNOT be set as a story.
Only network admins and intranet admins can create Company posts in MangoApps.

Creating a New Post

You can create a blank post or use an out-of-the-box block-based template or a custom admin-created template to create a new post for teams in MangoApps.
To create a new team post:
  1. 1.
    In the Posts module page, click the Tools button to display the drop-down list and then click New Post to open the Share A Post pop-up. OR
    Click the universal Compose (
    ) button and then click the Post option to open the Share A Post pop-up. OR
    In a team's page, in the News Feed tab, click the More drop-down list and then click the New Post option to open the Share A Post pop-up. OR
    In a team's page, in the Posts tab, click the Post Tools button to display the drop-down list and then click New Post to open the Share A Post pop-up.

    Enter the team name in the Team Name text box to create a post for the specified team.
  3. 3.
    Enter additional team names in the CC text box to send to share the post with multiple teams. Members of all teams will be notified. This triggers a notification for the members of the team specified in the CC text box.
  4. 4.
    Select the preferred template for the post.
    • Select the Blank option to create a blank post. Click the Continue button to open the post in Edit mode. You CANNOT add blocks (Cover Image, Image, Video, Audio, Quote, Text, Media + Text, and Button) in the post when using the Blank option. OR
    • Select one of the out-of-the-box Post templates or admin-created templates. For example, click the Newsletter Template 1 template and then click the Continue button to use the template and open the post in edit mode.

    Enter a title for the post in the Title text box. For example, enter Introducing MangoAcademy in the text box.
  6. 6.
    Add/Edit the content of the post in the Post Editor. Click the preferred blocks to add the content to the post. You can add a Cover Image, Image, Video, Audio, Quote, Text, Media + Text, and Button blocks in the template.
  7. 7.
    Add a featured image for the post. We recommend do this to improve engagement.
  8. 8.
    Select the preferred attributes for the post template in the Settings options.
    • Mark the Allow comments to be posted checkbox to allow users to comment on the post on the User Portal. If disabled, hides the Comments tab for all users from the post.
    • Mark the Make it a must read checkbox to set the post as a must read. This adds a "Must Read" box at the left corner of the post and displays the post in the consolidated widget on the Posts page.
      • Acknowledgment required: If this is checked, users will be required to click on the post before they can view the message content. Acknowledgement report will be available listing the users who have read the post.
    • Mark the Mark it as an announcement checkbox to set the post as an announcement and an optional expiry date for the announcement in the team. This option is displayed only to the network admins and team admins. This adds a "Announcement" box at the left corner of the post and displays the post in the consolidated widget on the Posts page.
      • No Auto Expiry: Select the No Auto Expiry option to set the post as an announcement with no auto expiry. Posts with No Auto Expiry, do NOT cease to be an announcement unless changed by the network/intranet/team admins.
      • Auto Expires On: Select the Auto Expires On option to set the date on which the post ceases to be an announcement from the first publish date. The post, however, continues to appear as a regular post once the expiration date is past.
      • Auto Expires After: Select the Auto Expires After option to set the day after which the post ceases to be an announcement from the first publish date. The post, however, continues to appear as a regular post after the specified days.
    • Mark the Schedule this post checkbox to set the future Date and Time for publishing the post automatically.
    • Mark the Make post voice enabled checkbox to automatically convert the team text posts into voice posts. This adds the post in the Podcast widget on the Posts page when published.
    • Select the preferred Edit permissions for the post for team members.
      • You can edit this post: Only you (the creator) can edit the post. If selected, hides the Edit button for all users from the post.
      • You & admin can edit this post: Only you (the creator) and the network admins, team admins can edit the post. If selected, hides the Edit button for all users except the creator, network admin, team admin.
      • Any team member can edit this post: Any team member can edit the post.

    Select the preferred additional teams in the Share With Additional Teams text box to send the post in the News Feed for the specified team. This is an optional step.
    No notification is triggered for the members of the team specified in the Share With Additional Teams text box.
  10. 10.
    Select the preferred categories for the post in the Category options. If using an admin-created template for the post, some categories will be pre-marked as specified by the admin. You can choose to override the admin-specified categories for the post.
    Network admins & intranet admins can create a new category using the + Add New Category link.

    Enter the preferred hashtags for the post in the Hashtags text box.
  12. 12.
    Click the Preview button to display a preview of the post.
  13. 13.
    Click the Save And Publish button to save the changes to the content and publish the post in the selected team. OR
    Click the Schedule Post option to schedule the post and automatically publish it at the specified date and time. OR
    Hover over the
    (more options) button and then click the Save as Draft & Close option to save the changes to the content and save the post as a draft.
Post titles in MangoApps are case-insensitive. For example, if you created a post as 'Sample Post', you cannot create another post as 'sample Post', or 'Sample post', since all 3 are treated the same.
All members of the team are notified when a new post is published within the team.
Posts saved as Draft and Scheduled Posts are visible only to the creator of the post in the domain.
Creating a new post in a team

Actions on Posts

Click a post in the Posts module/team page to preview it in a pop-up and display the post-related tools for it.

    Post Reminder: Click the post reminder button to edit the reminder of the post. Displayed only if a reminder has been set for the post by the current user.
  2. 2.
    Admin Tools: By default, visible only for the network admin, team admin & creator of the post, click the
    (Admin Tools) button to display the drop-down list.
    • Move Post: Click the Move Post option to open the Move this post pop-up. Enter the destination team name in the Team text box for the post. Mark the check box to notify team members about the moved post with a news feed. Click the Move button to move the selected post.
      Only network admins, team admins and the creator can move a post from one team to another.
    • Make it a 'Announcement' post in team: Option visible only to the network admin and team admin. Click the option to set the post as a 'Announcement' for all team member. This adds a 'Announcement' box at the left corner of the post and displays the post in the consolidated widget on the Posts page.
    • Remove as 'Announcement' post from team: Option visible only to the network admin and team admin. Click the option to remove the post as a 'Announcement' and convert it into a regular post for all team member.
    • Make it a 'Must Read' post in team: Click the option to set the post as a 'Must Read' for all team member. This adds a 'Must Read' red box at the left corner of the post and displays the post in the consolidated widget on the Posts page.
    • Remove from 'Must Read' post: Click the option to remove the post as a 'Must Read' and convert it into a regular post for all team member.
    • Set Order for the Post: Option visible only to the network admin & team admin. Click the option to display the Set Order for the Post pop-up and select the order in which the post appears in the Posts page. Admins can use the order value to control the order in which the posts appear on the intranet. This order is used when the user selects 'Sort By: Admin Specified Order' option. By default, the order value is 10 for all posts.
    • Delete: Click the option to delete the post from the team. Only network admins, team admins and the creator can delete a post from a team.

    Edit: Click the Edit button for a post to open it in the Edit mode. Use the toolbar within the text editor to add/edit/style/delete content in the post with:
    • The editing and styling tools to easily format text and paragraphs. Network admins can modify the look and feel of the styles via Admin Portal > Branding > Posts for the Background, Title, Heading 1, Heading 2, Heading 3, Heading 4, Heading 5, Heading 6, Normal Text, Link, and PDF.
    • The MangoApps Media Library module to embed images & GIFs to support richer content experiences
  4. 4.
    Post Tools: Click the Post Tools button to display the drop-down list and then click Copy Link to Post or Pin it or Unpin it or Set a Reminder or Edit Reminder or Duplicate Post or Generate PDF or Add/Edit Hashtags.
  5. 5.
    Comments: All comments by members of the team on the post. Use the @mention feature to send a notification to the specific user about the comment.
  6. 6.
    Changes: MangoApps does NOT support version control for posts. A feed is generated automatically when a user edits and publishes a post for the 'Changes' tab.
  7. 7.
    Related Content: List of all content added via the Add More Items within the post. The related content lists the media, files, posts, wikis, quizzes, surveys, forms, and trackers in the tab.
Editing a post generates a feed automatically for the Changes tab of the Post as 'User A has edited the details of Post.'
Unlike Wikis, Posts do NOT support version control.
If two users are editing a post simultaneously, and User A published the changes first by clicking the Save And Publish button. Now when User B, who has an older copy of the post open, edits that copy and publishes the changes, the changes made by the User A to the post will be overwritten.
The best solution for this is to avoid simultaneous edits of posts in MangoApps.
Moving a post does NOT change the creator of the post and moves the comments, changes, and related content with it to the destination team.

Post Tools

Copy Link to Post

Users can copy a link for the post to their clipboard and share it with other MangoApps users. Click the Post Tools button to display the drop-down list and then click Copy Link to Post to copy the link to your clipboard.
Only members of the team in which the Post was created in private teams, can access the post via the link.
All users can access and view the post shared in public teams via the post link.

Pin it

All users who have access to the post can pin it. Click the Post Tools button to display the drop-down list and then click Pin it to pin a post and receive notifications for it based on your chosen notification settings for posts.

Unpin it

Click the Post Tools button to display the drop-down list and then click Unpin it to unpin a post and stop receiving notifications for it based on your chosen notification settings for posts.

Set a Reminder

All users who have access to the post can set a reminder for it. Click the Post Tools button to display the drop-down list and then click Set a Reminder to open the Set A Reminder pop-up.

    Date/Time: Select the date and time for the reminder. The timezone is as per the user's Locale settings.
  2. 2.
    Short Note: Enter an optional short note for the reminder.
  3. 3.
    Color: Select a color for the reminder from the color picker for the reminder.
  4. 4.
    Save: Click the Save button to add and save the reminder to your calendar.

Edit Reminder

Click the Post Tools button to display the drop-down list and then click Edit Reminder to modify the reminder settings in the Edit Reminder pop-up.

Duplicate Post

Click the Post Tools button to display the drop-down list and then click Duplicate Post to create a duplicate of the current post and open it in Edit mode.

    Title: Enter a name for the post in the Title text box.

    Place In: Select the Team option to create the post in a team.
  3. 3.
    Select Team: Select the MangoApps team for which you want to create the post. You can duplicate and create a post for only one team at a time in MangoApps.

    Duplicate: Click the Duplicate button to create a duplicate of the post and open it in Edit mode.
A duplicate post does NOT include the comments, changes, attachments of the original post.
The user duplicating the post becomes the creator of the post.

Generate PDF

Users can download the post as a PDF. Click the Post Tools button to display the drop-down list and then click Generate PDF to download the selected post as a PDF.
The latest published version of the post is downloaded as the PDF.

Add/Edit Hashtags

Click the Post Tools button to display the drop-down list and then click Add/Edit Hashtags to add new hashtags or edit existing hashtags for a post.

    Hashtags: Enter the hashtags in the Hashtags text box as preferred.

    Save: Click the Save button to add/edit the hashtags for the selected post.

Advanced Tools within Posts

You can use the advanced tools in the visual text editor for the Blank template such as:
  • The Add More Items option to insert -
    • File: Any file and folder from the MangoApps Files module the user has permissions to access.
    • Post: Any post from a MangoApps team the user is a member of.
    • Wiki: Any wiki from a MangoApps team the user is a member of.
    • Quiz: Any quiz from a MangoApps team the user is a member of.
    • Survey: Any survey from a MangoApps team the user is a member of.
    • Form: Any form from a MangoApps team the user is a member of.
    • Tracker: Any tracker from a MangoApps team the user is a member of.
    • Table: The inline tables to capture project plan, due dates, priority, and keep everyone organized. You can also use the Advanced tab to style the table using the Custom CSS defined by the network admin in Admin Portal > Branding > Full Portal > Custom CSS.
    • Code Snippet: Add code snippets for 25 programming languages.
    • Embed: Add an embed code for media files from the MangoApps Media Library and other MangoApps content such as forms, trackers, etc. Also, embed codes from YouTube, Vimeo, etc.
    • Horizontal Line: Add a horizontal line to differentiate and organize content with in post.
  • The find and replace (
    ) feature to quickly locate and replace text within the post.
  • Add images from the Unsplash Photo Library to posts.
MangoApps automatically creates a Table of contents for a post's PDF, based on the headings hierarchy (Heading 1, Heading 2, Heading 3, Heading 4, Heading 5, Heading 6) in the content.
You can choose the display option for items added via the Add More Items option in a post as:
  • Bar: Displays the items in a full-width bar layout with each item on a new line.
  • Tile: Displays the items in a 3 column layout.
  • Embed: For forms and trackers, add an embed code to display the form/tracker within an iframe in the post.
  • Text Link: Displays a clickable text link for the items.
You can use the content blocks in the visual text editor for the out-of-the-box and admin-created templates:
  • Cover Image: Add a full-width image at the top of a post.
    • Each post can have only 1 cover block
    • File types allowed jpg, jpeg, png, gif, bmp
    • Ability to add images from the Unsplash Photo Library
    • Ability to show or hide overlay (post title, author, publish date, and total views) on the cover image
    • Ability to show or hide the cover image
  • Image: Add an image within the posts.
    • File types allowed jpg, jpeg, png, gif, bmp
    • Ability to add images from the Unsplash Photo Library
    • Ability to set properties for image size (small, medium, large, x-large, and full-width)
  • Video: Add a video within posts.
    • File types allowed mp4, mov, avi, wmv, mpeg
    • Ability to set a custom featured image for the video block
  • Audio: Add an audio within posts.
    • File types allowed wav, mp3, wma
    • Ability to set properties for background color
  • Quote: Add a citation in the post.
  • Text: Add a text with a heading to posts.
  • Media + Text: Add an image followed by a heading and text in the post.
    • Ability to add images from the Unsplash Photo Library
    • Ability to set properties for image position and image size
  • Button: Add a 'Call to action' button to posts.
    • Ability to customize the button color, label color, position, size, and link as per your requirements
    • Optionally, can have a heading and/or text added in it
Common content block properties and layout actions include:
  • Ability to set properties for the background color, heading color, and text color
  • Ability to insert a column to left/right
  • Ability to insert a row above/below
  • Ability to increase block width by 33% when there are two or more blocks in a row
  • Ability to decrease block width by 33% when there are two or more blocks in a row
  • Ability to duplicate a content block
  • Ability to remove a content block
To make it easy to re-arrange content in the post, each content block provides some common row-level actions:
  • Ability move a block up or down.
  • Ability to duplicate a and remove the entire content block row.
Each row can have maximum 3 content blocks in posts.

When is a notification triggered for Posts?

MangoApps sends notifications for the following activities on posts:
  • Announcements published in user's teams
  • Must read posts published in user's teams
  • Posts published in user's teams or from co-workers whom user is following
  • Posts published in user's pinned teams
  • Comments/replies on posts in user's teams or on posts from co-workers whom user is following
  • Comments/replies on posts in user's pinned teams
  • Comments/replies on posts created by the user
  • Edit of user's team posts or posts from co-workers whom user is following

Can guest users create, edit, and collaborate on Posts?

Yes, guest users CAN create, edit, and collaborate on Posts in MangoApps.
