# Integration with Google Workspace

### Overview&#x20;

MangoApps integration with Google Workspace allows teams to create, manage, and collaborate on Google Docs, Sheets, and Slides directly within the MangoApps **Files** module.&#x20;

Once enabled, Google Workspace files appear alongside native MangoApps files, marked with their recognizable icons and extensions (`.gdoc`, `.gsheets`, `.gslides`). This functionality is available across:

* Projects, Groups, and Departments
* The Network Files module
* Personal "My Drive" folders

### Administrator Setup

Administrators can activate this integration via the **Admin Portal > Integrations > Built-In Integrations > Document Management Apps**.

* **Enable the Toggle**: A new Google Workspace toggle is available in this section. Note that while the toggle is present by default, the integration requires activation.
* **Authentication**: Admins must complete a one-time Google OAuth authentication to link the organization's Google Workspace to MangoApps.
* **Consolidated Management**: For ease of use, the Google Workspace settings are located alongside the Microsoft 365 toggle, allowing admins to manage all cloud document integrations from a single screen. (Note: Enabling Google Workspace does not change any existing Microsoft 365 configurations).

### End User Experience

**Creating and Adding Files**

Users can find the new options under the Files dropdown menu in a dedicated Google Workspace section:

* Create New: Selecting a Document, Spreadsheet, or Presentation opens a dialog to name the file and choose a destination. Upon saving, the file is automatically created in Google Drive and opens in a new tab for immediate editing.
* Add via Link: You can link existing Google Workspace files to MangoApps by pasting any valid Google Docs, Sheets, or Slides URL. This saves the file as a linked entry in your selected MangoApps folder.

**Collaboration and Permissions**

MangoApps simplifies access management by mapping permissions directly to Google Drive:

* Permission Mapping: Sharing a file with a colleague in MangoApps automatically synchronizes their access level (Owner, Editor, or Viewer) in Google. These permissions remain in sync at all times.
* File Actions: Users can perform a focused set of actions on Google files within MangoApps, including View, Edit, Share, Pin, Move, Rename, and Add Hashtags/Descriptions.
* Renaming & Deletion: Renaming a file in MangoApps updates the title in Google Drive simultaneously. However, deleting a file in MangoApps only removes the entry from the portal; the original file remains safe in Google Drive.

**Search and Discovery**

Google Workspace files are fully integrated into the MangoApps search engine:

* Files are searchable by name, hashtags, and descriptions.
* Results appear in the global search "type-ahead" and the full search results page.
* Users can use the Documents, Spreadsheets, and Presentations filters to find specific Google file types quickly.
