MangoApps supports single sign-on (SSO) logins through SAML 2.0. Administrators automatically are granted rights to log into the admin portal, the central location for most admin capabilities. On the user portal admins have special rights like editing ideas and approving their own join requests to private groups, projects and events. What’s the difference between admin, network, guest and public users?

  1. Administrators automatically are granted rights to log into the admin portal, the central location for most admin capabilities.

  2. On the user portal admins have special rights like editing ideas and approving their own join requests to private groups, projects and events. Admins automatically become owners to documents in projects they are a part of.

  3. Network users can do just about anything including uploading files; creating groups, projects, and events; posting ideas and more.

  4. Guests users are have full capabilities just like a network user INSIDE their groups, projects, events or files they are invited to. They cannot see anything outside of their specific project, group, or event.

  5. Public users can view and potentially download the file they are shared. The link they are emailed can be modified by the sender at any time to remove access to the file or add or remove download capability.

  6. Guest users cannot use the MangoApps File Sync capability.

How do I invite users by importing from a csv file?

How are guest users different than network users in MangoApps?

Guest Users are different than Network Users in MangoApps in the following aays:

  1. Guest Users do not count towards your monthly or yearly subscription cost.

  2. Guest Users are restricted to communications within the projects or groups they have been invited to.

  3. Guest Users are Out-of-Network users with external email address domains.

  4. Guest Users cannot follow any colleague within MangoApps

  5. Guest Users may be removed from the team by any of their group or project teammates

  6. Guest Users can be part of multiple teams

  7. Guest Users if not a member of any team can still have access to the domain and their private messages

  8. Guest Users need to be de-activated from the admin portal to restrict their access to the domain

What is a guest user in MangoApps?

Guest Users in MangoApps are non-paid members of groups and projects. Invitees become Guest Users in MangoApps by being invited to a group or project by Network Users. Guest can never be invited to a Department. Guest users do not have access to the proprietary information that the domain is communicating about outside of the specific project they belong to. Guest Users also cannot follow any colleagues from the MangoApps domain they are a guest of.

How can I delete an user and will MangoApps also delete all the messages, files, etc. they have posted?

You can delete an user account from the admin portal of MangoApps. Learn more on how to delete an user account here.This does not delete the user content and the retained content of the deleted user account displays 'anonymous' as the username.

MangoApps recommends deactivating the user instead of deleting them for the following reasons:

  1. Their MangoApps content will remain intact and will not be lost forever.

  2. Their account is recoverable if they ever need to be re-instated.

  3. They are not able to log in while suspended.

  4. They are not counted as a licensed user (paid account) while suspended.

  5. Their MangoApps content will not need to be manually transferred to other MangoApps users.

What administrative actions can be performed on users in the admin portal?

The User Tools button lists the actions you can perform for user management and provisioning on your domain. See the list of actions that can be performed here.

What is the difference between suspending an user from MangoApps and deleting them?

Suspending users instead of deleting them is recommended because:

  1. Suspending a user from MangoApps allows administrators to retain and recover feeds, attachments, and comments that the suspended user posted during their time as a MangoApps network member.

  2. Another advantage of suspended users is that they are not counted as an active user that needs to be paid for.

Using ldap or active directory authentication in MangoApps

As part of your MangoApps Enterprise subscription, your users can be authenticated through LDAP and Active Directory.Learn how to configure your active directory server to authenticate with MangoApps here.

How can the network admin control who creates new projects & groups on the domain?

The network capability to control who can create new projects & new groups on the domain. Only users who have been assigned a project creator or a group creator role are allowed to create new projects or groups. Refer instructions here to setup Project/Group creators;

  1. Navigate to the admin portal -> Users -> Admin Roles

  2. Click the Project or Group creator link from the secondary navigation depending upon where you would like to set the permission

  3. Click on “Add Creator” button then type the users name or email you wish to add as creator. Click Make project admin to confirm.

  4. Navigate to Modules -> Projects or Groups (depending where you wish to apply the creator role)

  5. Click on the Gear Icon (Settings) at the right top, then manage settings.

  6. From the drop-down “Permissions to create a new group” select “Network Admins And Users With Creator Role” and click save to apply the setting.

How can I leave a team in MangoApps?

As a network user who is a member of a project, you can leave the project when it is required. Learn here how to leave a project or a team.

How to import a user's list?

To import a list of users, please follow these steps:

  1. Access the Admin Portal.

  2. Navigate to the Users section and select "Add or Invite Users."

  3. Look for the "Import User" tab.

It's important to note that users imported and invited through the Admin Portal using the "Import Users" feature will be automatically assigned the "Network User" role, regardless of their email address.
